Wilken Family Eye Care is an established independent optometry practice in Coppell looking for one exceptional person to join our front office team . We are open to candidates at different experience levels, from someone with strong potential who is newer to eye care to an experienced optometry front-office professional capable of taking on a lead or management role. Pay ranges from $15-$24/hour based on relevant experience, demonstrated knowledge, and level of responsibility. Candidates with significant private-practice optometry or ophthalmology experience may qualify for a Lead Front Desk or Front Office Manager position. We're especially interested in experienced eye-care professionals who are ready for more responsibility. If you're the person coworkers come to with questions, you're comfortable solving problems independently, and you enjoy keeping a busy front office organized and moving, we'd especially like to hear from you. Who We're Especially Interested In Our ideal candidate already has experience in a private optometry or ophthalmology office and understands the fundamentals of a busy eye-care front office, including scheduling, vision and medical insurance, patient communication, collections, EHR/practice-management software, and handling the unexpected situations that arise during a normal day. Previous experience with OfficeMate, Crystal PM, Eyefinity, RevolutionEHR, Adit, or similar systems is a plus. Just as important as experience, we're looking for someone who is a self-starter and problem solver . We are a small independent practice. Healthcare changes. Insurance companies change requirements. Technology changes. Office procedures evolve as we find better ways of doing things. We provide training, resources, and support, but successful employees at WFEC are comfortable learning independently, adapting to change, looking for answers, and solving routine problems confidently using good judgment and the resources available to them. Patient Communication & Front Office Responsibilities This position requires fast, clear, articulate communication with patients throughout the day across multiple communication channels. Our front office keeps patient communication moving efficiently rather than allowing calls, messages, forms, scheduling needs, or follow-ups to sit unresolved.
Responsibilities include:
Communicating with patients by phone, text messaging through Adit, email, and in person Responding promptly and professionally to incoming patient questions and requests Scheduling routine eye examinations, contact-lens visits, follow-ups, and other appointments accurately and efficiently Recognizing urgent eye-care complaints , gathering the appropriate information, and following established triage procedures to determine how quickly a patient needs to be seen Sending and following up on electronic intake forms and helping ensure required information is completed before the patient's visit Following up with patients when information, scheduling, forms, insurance details, or other action is still needed Clearly explaining common office procedures, including comprehensive examinations, contact-lens evaluations, dilation, retinal imaging, and other routine services Understanding and communicating vision-plan and medical-insurance information Keeping communication loops closed— if a patient, coworker, or doctor is waiting for an answer or action, making sure it gets completed or appropriately handed off Documenting communication appropriately so other team members can easily understand what has already occurred and what still needs to be done Handling several communication channels simultaneously while remaining organized, accurate, friendly, and professional What Success Looks Like Here Our strongest front-office employees communicate quickly, clearly, and confidently . They are comfortable moving between a patient standing at the desk, an incoming phone call, an Adit text message, an electronic form request, and a scheduling issue without losing track of what still needs to be completed. They don't need to know the answer to every question. They do need to know how to find an answer, use the resources available to them, communicate appropriately, and follow an issue through to completion. We don't expect anyone to know everything on their first day. We do value people who are curious, take ownership of learning, retain what they've learned, and become increasingly independent as they gain experience. We especially value people who can recognize the difference between a routine request and something that needs immediate attention, including patient complaints that may represent an urgent eye-care problem. For Experienced Candidates Depending upon experience and demonstrated ability, this position may include additional responsibility for: Taking ownership of front-office workflow and day-to-day operations Training and mentoring other front-desk employees Helping ensure established procedures are followed consistently Identifying workflow problems and helping develop practical solutions Keeping the front office current with insurance, technology, and procedural changes Serving as a resource for front-office questions before they need to be escalated to management or the doctors Schedule & Benefits No Saturdays Fridays close at 1:00 PM Full-time benefits available according to practice eligibility requirements Paid time off Employer-paid employee health insurance, with dependent coverage available at employee expense. 401(k) Paid holidays
