This vital role offers the opportunity to support daily office operations, enhance communication, and ensure smooth administrative workflows. The ideal candidate will be energetic, detail-oriented, and possess excellent organizational skills, with the ability to manage multiple tasks efficiently in a fast-paced environment. Fluency in both Spanish and English is required . Duties Manage front desk responsibilities, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy Handle calendar management and scheduling for multiple team members, ensuring appointments are organized and conflicts are minimized Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and administrative tasks Support office management activities such as filing, document proofreading, and organizing supplies to keep the workspace efficient and orderly Provide exceptional customer support by responding promptly to inquiries in both Spanish and English, ensuring clear communication at all times Assist with clerical duties including photocopying, faxing, mailing, and maintaining organized digital and physical filing systems Support personal assistant tasks as needed, including travel arrangements or special project coordination Skills Bilingual fluency in Spanish and English with excellent verbal and written communication skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and QuickBooks for bookkeeping purposes Exceptional organizational skills with the ability to prioritize tasks effectively and manage time efficiently Experience with multi-line phone systems, office management procedures, and clerical functions such as filing, proofreading, data entry, and calendar management Knowledge of office equipment operation including printers, scanners, fax machines, and basic troubleshooting skills Excellent phone etiquette coupled with strong customer service skills to handle inquiries professionally in both languages Proven ability to perform administrative tasks accurately while maintaining attention to detail in a fast-paced environment Personal assistant experience or previous office experience is highly desirable Join us as a Bilingual Spanish/English Admin Assistant to be a key contributor in creating a welcoming environment while supporting our team's success.
