Job Description

Administrative Assistant We are seeking a dependable and organized Administrative Assistant to join our busy ambulance service. This position provides day-to-day administrative support to the office and works directly with the President and CEO on various administrative needs. A key responsibility of this position is helping ensure company licenses, certifications, permits, and other required documents remain current and are renewed on time. Duties & Responsibilities Provide administrative support to the President and CEO Track and coordinate renewals for company licenses, certifications, permits, and other required documentation Maintain organized records of renewal dates, applications, and supporting documents Assist with onboarding and in-processing of new employees Answer phone calls, respond to correspondence, and assist with general office communication Maintain and update company records, files, and documents Perform data entry and prepare letters, forms, spreadsheets, and other documents Manage calendars, appointments, meetings, and reminders as needed Assist with coordinating meetings and company-related events Greet and assist visitors Provide front-office support as needed Follow up on administrative tasks and deadlines to help ensure they are completed on time Perform other administrative duties as assigned Qualifications Previous administrative or office experience preferred Strong organizational skills and attention to detail Dependable and able to keep track of multiple deadlines and responsibilities Proficient in Microsoft Word, Excel, and PowerPoint Strong written and verbal communication skills Comfortable communicating with employees, vendors, agencies, and other outside organizations Ability to manage calendars, appointments, records, and confidential information Good data entry and typing skills Ability to work independently and follow tasks through to completion What We're Looking For The ideal candidate is organized, dependable, and comfortable handling a variety of responsibilities throughout the day. This position is a good fit for someone who takes initiative, follows up on important deadlines, communicates well, and can provide reliable support to company leadership.
