In this vital role, you will serve as the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and organizational skills will support various administrative functions, enhance communication, and contribute to a positive work environment. This paid position offers an exciting opportunity to develop your office management expertise while making a meaningful impact on our team's productivity and success. Duties Handle data entry tasks with accuracy using spreadsheets and productivity software such as Microsoft Office and Google Workspace Maintain organized filing systems, both digital and physical, ensuring easy access to important documents Assist with calendar management and scheduling appointments for staff and clients, including medical or dental receptionist duties if applicable Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking Prepare correspondence, reports, and documents through word processing and proofreading to ensure clarity and professionalism Experience Proven clerical experience in an office environment with strong organizational skills Familiarity with office management procedures and administrative best practices Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience with data entry, filing systems, and document proofreading for accuracy Excellent phone communication skills with proper phone etiquette across multi-line phone systems Bilingual abilities are highly valued to support diverse client communication Prior experience as a receptionist, personal assistant, or in customer support roles is preferred Technical proficiency in computer literacy, including familiarity with bookkeeping software like QuickBooks and productivity tools for efficient workflow management
