About Us:
We are a warm and welcoming physical and occupational therapy practice in Hawkins Texas, dedicated to helping our community feel their best. We are seeking a friendly, organized, and compassionate individual to join our team as a Secretary/Administrative Assistant. This is a New location that just opened inJune Responsibilities:
Responsibilities Manage multiple front-office responsibilities at the same time while maintaining accuracy and professionalism. Answer phones professionally, take complete and accurate messages, and determine when an issue needs to be escalated to management or a therapist. Schedule and confirm patient appointments while keeping therapist schedules accurate and organized. Verify insurance benefits and understand basic insurance requirements, including authorizations, visit limits, benefit exhaustion, copays, deductibles, and eligibility . Track patient authorizations and approved visits to help prevent patients from being seen without required authorization or after benefits have been exhausted. Collect copays and patient balances as required and accurately document payments. Complete new-patient intake and accurately enter patient demographics, insurance information, referrals, and other required information into the EMR. Monitor schedules and patient records for missing information, authorization concerns, incomplete documentation, or other issues that could affect patient care or billing. Communicate clearly and professionally with patients, therapists, insurance companies, referral sources, and other staff. Follow through on assigned tasks without requiring repeated reminders and communicate promptly when something cannot be completed. Maintain patient confidentiality and follow HIPAA and clinic policies at all times. Assist with filing, scanning, faxing, record requests, office organization, and other administrative duties as needed. Prioritize tasks appropriately in a busy outpatient therapy clinic and recognize issues that require immediate attention. Qualifications Previous medical office, therapy clinic, or healthcare administrative experience strongly preferred. Experience with insurance verification and authorization tracking strongly preferred. Must be highly organized and able to manage multiple priorities without losing track of important tasks. Strong attention to detail and ability to identify discrepancies or missing information. Must demonstrate good judgment, professionalism, discretion, and appropriate workplace communication. Must be able to follow written and verbal instructions accurately and retain established procedures. Must be dependable and able to complete assigned responsibilities with minimal supervision after training. Comfortable learning and using EMR, scheduling, insurance verification, email, and other computer systems. Strong written and verbal communication skills. Must understand the importance of timely follow-up in a healthcare environment. This position is best suited for someone who is proactive, detail-oriented, comfortable multitasking, and able to recognize and address issues before they become larger problems. Why Join Us?
