As our Office Coordinator, you will be the face of nVent Management Company, ensuring that every visitor, client, and staff member experiences a welcoming and efficient environment. This role is crucial in maintaining our world-class standards for office functionality and collaboration. Greet visitors, clients, and guests with integrity and warmth.
Answer, screen, and direct incoming calls.
Manage the visitor log and strictly ensure security compliance.
Respond to inquiries and manage the office email inbox effectively.
Coordinate and schedule meetings, ensuring all arrangements are flawless.
Maintain office supplies inventory and place orders as needed.
Assist with office maintenance to keep the space organized and functional.
Support staff with administrative tasks such as filing and data entry.
Help coordinate meetings, events, and company celebrations to foster a collaborative spirit.
Handle mail, packages, and deliveries, ensuring a welcoming office environment.
Analyze and process a high volume of Engineering Change Requests and Change Orders.
Enter and process change orders in the ERP system.
Collaborate with Project Managers to ensure accurate, timely processing.
Coordinate with Engineering team members and Procurement to ensure project requirements are meeting defined timelines. Will also be responsible for maintaining long lead/back-order reports.
Expedite responses, corrections/solutions where applicable with the engineering team and other departments where applicable.
Maintain individual workflow to ensure ease of obtaining current ECR/CO status and prioritize individual work.
Assist Procurement with PO creation for Professional Engineering and Third-Party vendors (Fire Alarm, Stairs and Platforms, etc.)
Run bi-weekly check-in meetings with Project Managers.
Take notes for Bi-Weekly Production Meetings and CAD Status Meetings. Should maintain CAD Status Pivot Table.
Schedule internal kick-off meetings upon PO capture.
Maintain Project Management Metrics
Maintain Field Service schedule. Should work internally with Field Service Technician and Project Managers.
Support Project Managers with other miscellaneous tasks
You have:
Proven experience in office administration, reception, or customer service roles.
Strong written and verbal communication skills.
Excellent organizational and multitasking abilities.
Ability to handle confidential information with discretion.
Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint).
Strong interpersonal skills and a positive, can-do attitude.
