Public Works Division :
Administration/Engineering/Service Center FLSA Non-Exempt Job Summary Provides support and assistance to the Public Works Department. Provides customer service to the public and vendors for administrative support for all divisions within Public Works. Must be available to work Monday, Wednesday, Friday- 7:30 a.m.- 4:30 p.m. in the office.
Essential Job Functions:
Greets, open door, and assists customers, visitors, and vendors in the Service Center administrative offices. Prepares correspondence, memorandums, staff reports, statistical reports, presentations, P-Card entries and payment vouchers for staff personnel. Processes and organizes mail, and organizes signature folders and schedules for management. Reconciles electronic payroll for Public Works personnel. Performs clerical activities including drafting routine correspondence, maintaining office files, ordering office supplies and keeping copier equipment in good working order. Tracks Division inventories, trainings, certifications and monthly safety programs. Assists with entering requisitions into the Oracle financial system. Enters Purchasing Card information into SDOL for all divisions. Assists with preparing monthly, quarterly, and annual reports for all areas, as assigned. Adheres to City of Hurst s Code of Ideals, The Hurst Way, and fosters positive employee relations and employee morale on a City-wide basis. Issues receipts for work within the Public Right of Way Performs related duties as directed when such duties are logical and appropriate. Regular and timely attendance are required for this position. Interacts professionally and respectfully with the public, coworkers and others in the course of daily work.
Skills, Knowledge, and Abilities:
Knowledge of office practices and procedures, business English, spelling, and arithmetic. Knowledge of Microsoft Word, PowerPoint, Excel, and other software programs. Ability to maintain accurate records with attention to detail. Skills in proofreading reports and correspondence for correct grammatical form and spelling. Ability to assist the public in a professional and courteous manner. Ability to understand and follow oral and written instructions. Ability to coordinate multiple assignments and tasks and work independently with little supervision. Ability to file at various heights. Ability to sit for extended periods of time to operate standard office equipment, including keyboard, telephone, calculator, copier, fax machine, printer, and word processing equipment.
Minimum Education, Certification, and Experience Requirements:
Previous customer service experience is required. High school diploma or equivalent is required. Two to four years of administrative and/or secretarial experience is required; or an equivalent combination of education, training and/or experience that provides the required knowledge, skills and abilities to perform the essential functions of the job. Must have regular and punctual attendance, reliable transportation, and flexibility to work overtime as required. Must pass a pre-employment drug screen. Must pass a criminal background check and credit check. Must have a valid Texas driver s license with an acceptable driving record as defined by City policy. Physical Demands and Working Conditions The physical demands described here represent those that an employee must meet to perform the essential functions of this job successfully. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. This job requires the ability to work in an office environment where the noise level is usually moderate. While performing the essential functions of this position, the employee is occasionally exposed to disagreeable environmental factors.
