Primary Purpose:
Provide secretarial services for the central office student services department staff members.
Qualifications:
College hours, high school diploma or GED
Proficient keyboarding, word processing, and file maintenance skills
Excellent organization, communication, and interpersonal skills
Ability to work with people
Ability to made decisions
Good communication skills including telephone
Ability to complete basic math
Major Duties and Responsibilities:
Prepare correspondence, reports and other documents necessary to the effective operation of the Student Services department.
Answer and screen all telephone calls into the Student Services Office.
Maintain all files related to the administration of the department.
Maintain calendar of on-going departmental meetings and events.
Assist in maintaining budget records for local, state and federal student services accounts.
Serve as receptionist to all persons visiting the Student Services Office.
Manage the operations of the Student Services Office.
Process all incoming and outgoing mail for the department of Student Services Office.
Attend meetings related to inservice for secretaries, budget and appropriate procedural matters.
Responsible for maintaining all correspondence that relates to the Parent Advisory Council members.
Maintain electronic and physical filing systems.
Prepare reports and presentations as necessary.
Provide copying services to department staff.
Routine bookkeeping tasks, including arithmetic operations for the department.
Processing of paperwork, reports, purchase orders, and other documents as needed.
Provide relief support to other staff as necessary.
Maintain the confidentiality of information and communication.

Working Conditions:
Work with frequent interruptions, maintain emotional control under stress. Occasional prolonged and irregular hours. Repetitive hand motions, bending, stooping, squatting, standing, reaching, prolonged sitting and lifting up to 30 pounds.
