Job Description
The Administrative Assistant II is a position directly responsible to the Dean, Continental and Ft. Hood Campuses, who performs general administrative work and assists the Dean in all related functions.
- High school diploma or GED is required. Associates Degree from a nationally, regionally or identified at the state level accredited institution of higher education is preferred.
- S ix years wage clerical/secretarial experience with HS Diploma OR certification/successful completion of relevant trade school (30 credit hours) that is a nationally, regionally or identified at the state level accredited institution of higher education and two years wage earning clerical experience OR Associate Degree from a nationally, regionally or identified at the state level accredited institution of higher education and one year wage earning clerical experience.
- Working knowledge of Microsoft Office including Work, Excel, and PowerPoint; ability to learn other automated systems including Eagle Self Service, Etrieve forms, Colleague. Mura (web application) and Applicant tracking system.
- Demonstrated excellent oral and written communication skills.
- Excellent planning and organization skills.
- Ability to communicate effectively face to face or via email and telephone.
- Ability to maintain confidentiality of all information.
- Ability to set priorities, multi-task and meet deadlines.
- Perform routine clerical functions to include filing, sorting, posting, completing forms, and preparing records and reports as required with minimal supervision.
- Answer telephones, take messages, and place calls as required. Follow-up as necessary.
- Maintain position descriptions and process job postings for Fort Hood Campus as the initiator through the PeopleAdmin system.
- Primary point of contact for Fort Hood protocol: events, address lists, and invitations.
- Manage calendars for the Dean, Continental and Fort Hood Campuses.
- Manage the military vetting approval process to attend events and community outreach programs.
- Coordinate and assist with the establishment and support of military transition programs
- Run monthly budget report for Fort Hood Campus.
- Process PTEA's, PO's, and travel for Fort Hood Campus and support faculty requests.
- Track faculty teaching and contract billing hours; review and forward documents to designated office.
- Prepares correspondence, forms, reports, and other statistical information as required. Handle mail delivered to Fort Hood Campus.
- Review and forward documents to designated office.
- Maintain assigned files, logs, and reports as required.
- Provide support to the Continental Campus as directed, to include: reports, website maintenance and other clerical assignments as assigned.
- Perform all other duties as assigned by Dean, Fort Hood and Continental Campuses.
