Job Description
Service Center CSCS TX This role ensures all Caliber businesses comply with industry standards, regulations, and laws, preserving Caliber's reputation in each community. An Associate supports the preparation and processing of licensing project submissions and accompanying documentation. While doing so, they acquire foundational knowledge of licensing principles from senior licensing team members with direct supervision.
ESSENTIAL DUTIES
Responsible for handling the licensing project during the full cycle of the initial licensing of applications and verifications, ensuring adherence to licensing requirements and regulations in collaboration with government agencies or professional boards while supervised by senior licensing team members. Duties include conducting research and due diligence, identifying necessary permits and submitting applications, processing fees, scheduling inspections, and communicating with center staff and senior licensing team members regarding the status of licenses. Diligently execute and ensure the process is fully completed and that hard copies of the licenses are received. Use One Note, Smartsheet, Dynamics, and Outlook to manage filing and retrieval systems. Organize, scan, and keep accurate records of license applications and related documents in both electronic and hardcopy formats for easy access and maintenance. Ensures the utmost confidentiality concerning a range of complex licensing records, supporting documents, and files that include official and confidential matters. Actively engage in team meetings and collaborate by offering comprehensive updates on the progress of your licensing projects. Identify any conflicts within the licensing process and escalate them to your direct manager for assistance. Handle the processing of incoming and outgoing USPS mail and FedEx shipments, ensuring accurate documentation of received materials. Perform administrative duties to support the optimal functioning of the integration licensing team.KNOWLEDGE, SKILLS, AND ABILITIES
Basic experience of data entry and proficiency with administrative competencies include conducting online research, proficient typing, scanning documents, and processing mail. Exhibit proficiency in Smartsheet, Dynamics and Microsoft Office Suite, encompassing Excel, Word, Outlook, OneNote. Be self-motivated, have solid organizational and interpersonal skills, and be able to interact confidently, clearly, and patiently. Interpersonal skills that cultivate high levels of trust and confidence with both internal and external associates. Proven ability to set and organize work priorities, exceptional time management skills. Proficiency in both oral and written communication skills. Administrative skills such as online research, typing, scanning, and processing mail. Analytical skills, with strong attention to details and accuracy. Ability to effectively assist in multiple projects simultaneously. Self-starter with the ability to work independently or in a fast-paced team environment with a strong sense of urgency.EDUCATION, EXPERIENCE, AND OTHER REQUIREMENTS
A high school diploma, GED, or other high school equivalency credential 2+ years of office experience Possesses fundamental knowledge and experience in regulatory compliance, along with strong critical thinking and project management skills, as well as a thorough understanding of relevant government and environmental regulations.PHYSICAL REQUIREMENTS
Position requires little to moderate physical activity. Handling of average objects of weight up to 15 pounds; occasional standing or walking; frequently at a keyboard, workstation, or desk.WORK ENVIRONMENT
