Key Responsibilities:
The Intern will directly assist the Executive Assistant with daily tasks and execute any other administrative duties as assigned, including:
Reception & Hospitality:
Professionally answer incoming phone calls, screen inquiries, and accurately route callers to the correct team member. Warmly greet visiting clients or customers upon arrival and prepare necessary meeting materials before they come in.
Office Maintenance & Cleanliness:
Maintain a clean, tidy, and highly organized office environment. Pay close attention to detail regarding workspace cleanliness, and proactively remind team members of office guidelines or report maintenance/cleanliness needs directly to the Executive Assistant.
Supply Inventory Management:
Monitor office stock levels and handle the purchasing of office supplies, executing orders both online and through occasional in-store runs.
Administrative & Inbox Support:
Assist the Executive Assistant in providing day-today support to the executive leadership team, including organizing email inboxes to ensure timely responses.
Calendar Logistics:
Assist in coordinating meetings across international time zones and drafting meeting agendas.
Travel & Expenses:
Support the coordination of executive travel planning, itineraries,and expense reporting.
HR Clerical Support:
Provide basic administrative support for employee onboarding and payroll management tasks.
Confidentiality:
Handle all sensitive company and personnel information with the utmost discretion and professionalism.
