Job Description
St. Patrick Catholic Classical School is seeking a bilingual (Spanish) professional, welcoming, and highly organized School Secretary/Administrative Assistant to serve as the first point of contact for our school community. This position plays a vital role in supporting the daily operations of the school by providing administrative assistance to the Principal, faculty, students, and families while helping to foster a warm, faith-filled environment that reflects the mission of Catholic education. The ideal candidate is detail-oriented, able to manage multiple priorities, possesses excellent communication skills, and is committed to serving students and families with professionalism and Christian hospitality. Front Office & Customer Service Welcome and assist students, parents, visitors, and vendors in a friendly and professional manner. Answer and direct incoming telephone calls and respond to emails and general inquiries. Manage incoming and outgoing mail, deliveries, and correspondence. Maintain the school calendar and assist with scheduling appointments and meetings. Administrative Support Prepare correspondence, reports, forms, newsletters, and other school communications. Maintain accurate student records, attendance records, and confidential files. Assist with student enrollment, admissions, and registration processes. Process records requests and maintain compliance with student record retention requirements. Maintain office supplies and instructional materials as needed. Assist with faculty and staff support, including copying, filing, and preparation of materials. School Operations Coordinate school events, meetings, and special activities. Assist with volunteer coordination and visitor management. Help maintain emergency contact information and student health records. Support compliance with diocesan and state reporting requirements as assigned. Maintain office equipment and coordinate service requests when needed. Financial & Operational Support Assist with collecting tuition payments, fees, and fundraising proceeds as assigned. Collect purchase orders, invoices, expense tracking, and other operational documentation. Support the Principal with administrative projects and reporting. Communications Prepare and distribute communications to parents, faculty, parish members, and community partners. Assist with updating school calendars, announcements, and other communication platforms. Help ensure consistent and professional communication that reflects the mission of the school. Other Duties Maintain strict confidentiality regarding students, families, and personnel matters. Participate in staff meetings and professional development as requested. Perform other duties as assigned by the Principal. Qualifications Bilingual (Spanish) required High school diploma required; associate's degree preferred. Previous administrative, office management, or school office experience required. Strong organizational and time management skills with the ability to prioritize multiple responsibilities. Excellent verbal and written communication skills. Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace. Ability to quickly learn school management and software. Strong attention to detail and accuracy. Ability to maintain confidentiality and exercise sound judgment. Positive attitude with exceptional customer service skills. Ability to work collaboratively with administrators, faculty, parents, students, parish staff, and community members. Preferred Qualifications Knowledge of Catholic schools and the mission of Catholic education. Familiarity with FACTS Management or other school information systems. Experience working in a nonprofit or educational environment.
