Summary:
The Workplace Coordinator is responsible for supporting the day-to-day operations of the workplace and ensuring employees, visitors, vendors, and partners experience a safe, organized, efficient, and welcoming environment. This role coordinates office services, facilities support, supplies, workplace requests, meetings, employee experience activities, fleet management, IT coordination support, and safety coordination support, including vehicle reservations, maintenance coordination, reporting, issuing and setting up workstations, restocking workstation supplies, stocking safety supplies, managing field monitors, and maintaining reporting for client-required safety training. The Workplace Coordinator also serves as a key point of contact for internal teams, external service providers, fleet-related vendors, IT support resources, and safety-related stakeholders. Essential functions : Coordinate daily workplace operations, including reception support, mail handling, office supplies, kitchen or breakroom inventory, and general office organization. Respond to employee workplace requests and route maintenance, custodial, technology, or facilities needs to the appropriate team or vendor. Support facility maintenance, repairs, inspections, and service visits by coordinating with building management, contractors, and external vendors. Assist with meeting room readiness, event logistics, catering coordination, visitor access, and setup or cleanup for workplace events. Help manage seating assignments, workspace setup, office moves, onboarding logistics, access badges, and equipment readiness for new employees. Manage workplace fleet reservations, including scheduling vehicle use, confirming availability, communicating reservation guidelines, and helping employees access assigned vehicles as needed. Coordinate fleet maintenance, inspections, repairs, registration renewals, cleaning, fuel card support, and vendor appointments to help ensure vehicles remain safe, compliant, and ready for use. Maintain fleet records and reporting, including usage logs, mileage, maintenance history, incident documentation, reservation activity, expenses, and other operational metrics. Coordinate the issuing and setup of employee workstations, including desks, monitors, docking stations, keyboards, mice, phones, and other standard workplace technology or equipment. Partner with IT support to prepare new-hire workstations, confirm equipment readiness, assist with basic setup needs, and help resolve or escalate workstation-related issues. Restock employee workstations and shared work areas with standard supplies, accessories, and equipment as needed to support daily operations and employee readiness. Stock and maintain safety supplies, including personal protective equipment, first aid materials, and other required safety-related items to support field and office operations. Manage and maintain field monitors, including tracking assignments, coordinating availability, supporting basic readiness checks, and arranging service or replacement when needed. Maintain reporting for completed client-required safety training, including tracking employee completion status, updating records, and providing reports to internal teams or clients as needed. Maintain accurate records related to workplace requests, vendor services, supply orders, invoices, and office procedures. Monitor workplace safety, cleanliness, and compliance with company policies, escalating issues as needed. Manage Airbnb reservation, including Airbnb turnover cleaning, coordinating maintenance services, and stock supplies. Support employee engagement initiatives by helping create positive, professional, and productive workplace experience. Perform other duties as assigned by the company.
Education and Professional Licenses or Certifications Required Education:
High School Diploma or equivalent
Preferred Education:
College coursework in business administration, hospitality, facilities management or related field.
Knowledge, Skills, and Abilities:
1 to 3 years of experience in office space coordination, facilities support, general administration, hospitality, customer service, or a related role. Highly organized, strong attention to detail, and process oriented. Able to effectively manage multiple priorities and be highly responsive to changing needs. Excellent written and verbal communication skills. Professional with dedication to a positive approach to serving others. Able to operate with confidentiality and tact. Proficiency with Microsoft Office applications, email, calendars, shared documents, and basic workplace technology. Able to work independently and also collaborate effectively with others. Experience coordinating vendors, building services, and building maintenance requests. Experience supporting fleet operations, vehicle reservations, maintenance tracking, reporting, or transportation-related vendor coordination. Experience supporting office moves, workstation setup, equipment issuing, onboarding logistics, or basic IT coordination activities. Experience supporting safety coordination activities, maintaining safety supply inventory, field monitor tracking, or client-required safety training records and reporting. Knowledge of workplace safety practices, emergency procedures, and basic facilities operations. Effective problem-solving ability.
Work Environment:
This position typically works in an office or workplace environment and may require regular movement throughout the facility, occasional lifting of supplies, coordination with vendors, and support outside standard hours for special events or urgent workplace needs.
