First Colony Swim Team is seeking a highly organized, dependable, and professional Administrative Assistant to support the daily operations of our USA Swimming and non-competitive programs. This position plays an important role in creating a positive experience for athletes, families, coaches, and staff. About our company First Colony Swim Team (FCST) based in Missouri City, TX, is a USA Swimming Club which creates opportunities, within a safe and supportive environment, for swimmers to merge passion and commitment with expertise resulting in the highest level of personal performance. Job Description The Administrative Assistant will assist with registration and membership, communications, billing and account support, and general office administration. Strong communication and customer service skills, professionalism, confidentiality, and the ability to work both independently and as part of a team are essential. The ideal candidate is detail-oriented, comfortable working in a team environment, and able to manage multiple responsibilities while maintaining excellent communication and customer service. A strong understanding of youth sports, swimming, or USA Swimming is preferred but not required.
Key Responsibilities and Tasks Club Administration:
- Serve as a welcoming and professional point of contact for parents, coaches, and prospective families.
- Manage day-to-day administrative tasks for the program.
- Maintain accurate athlete and family records.
- Assist with setting up annual registration and assisting membership through the process.
- Maintain organized electronic and physical files.
- Assist coaches and program leadership with administrative projects and special assignments.
- Maintain accurate records and follow up with staff and membership to ensure compliance with USA Swimming.
Communication & Customer Service:
- Respond promptly and professionally to parent and member questions by email, phone, and in person.
- Communicate important program updates and information to staff and membership.
- Help families understand registration procedures, meet information, team policies, and other program processes.
- Assist with resolving routine questions and direct coaching-related concerns to the appropriate coach or program leader.
- Help create a positive, professional, and welcoming environment for all members and staff.
Financial & Membership Support:
- Assist with billing, payments, account questions, and other routine financial administration.
- Track outstanding forms, registrations, payments, and required documentation.
- Maintain confidentiality when handling financial and membership information.
Office & Program Support:
- Maintain an organized and efficient office environment.
- Support program leadership with projects that improve the efficiency and organization of the club.
- Perform other duties as needed to support the successful operation of the club.

Preferred:
- Experience working in youth sports, athletics, education, or a membership-based organization.
- Previous administrative or customer-service experience.
- Experience with Intuit QuickBooks.
Pay:
From $20.00 per hour Expected hours: No more than 40.0 per week
