Job Description

Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Responsibilities Seeking a bilingual(Spanish & English) medical office person responsible for providing direct care in a medical office setting under the direction of a physician, assists medical providers, and maintains a clean and safe environment in accordance with the policies and procedures of the practice. Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Coordinate calendar management and schedule appointments for team members using productivity software and calendar tools Assists in the assessment of patient needs and health plan by taking vital signs, history, medication listing, Completes all necessary documentation in the patient's medical record in accordance with practices charting policy. Maintains a clean, orderly and safe environment for patients and visitors. This includes cleaning in accordance with practice policies. Stocks rooms in preparation for the daily work schedule. Takes inventory of medical and exam room supplies. Complies with established personal protective equipment requirements necessary for protection against exposure to blood and other potentially infectious body fluids, chemical disinfectants, radiation, and other hazardous substances. Arranges for specialized consultations and appointments for testing as ordered by the physicians. Notifies appropriate insurance personnel to preauthorize tests ordered by the physician or other health care provider, which require pre-certification by the insurance company. Answering office phones, assisting front desk in scheduling appointments and directing calls appropriately. Assists in other functions of the physician practice as needed.
Education :
High school Diploma/GED required Completion of an accredited Medical Assisting Program CPR/BLS certification required
Experience:
Must have a minimum of one year of experience working in a physicians office Support team members with personal assistant duties when needed, including organizing meetings and managing time-sensitive tasks Qualifications Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Demonstrated data entry accuracy and proofreading abilities to ensure high-quality documentation Bilingual skills are a plus to enhance client communication and team collaboration Strong customer service orientation with professional phone communication skills and good phone etiquette Previous experience in administrative roles involving front desk operations, office management, or personal assistant responsibilities is highly desirable Join us to be part of a dedicated team that values proactive problem-solving, clear communication, and a positive attitude. $13.00 - $17.00 per hour
