Primary Purpose:
To act as the administrative secretary for assigned department providing clerical services and managing office activities. Education /
Certification:
High School Diploma or GED is required. Special Knowledge /
Skills:
Proficient skills in typing, word processing, and file maintenance. Ability to keep confidential information. Effective communication and interpersonal skills. Ability to make independent decisions. Ability to deal with the general public. Good organizational skills. Ability to use personal computer and software to develop spreadsheets, databases, word processing, PowerPoint (including Microsoft Office). Experience /
Other Requirements:
Three years of clerical / office experience, preferably in a public education environment. Accounting or bookkeeping experience is preferred.
Major Responsibilities and Duties:
Assist patrons/parents/employees who call or visit the office. Answer incoming calls, take reliable messages, and route to appropriate staff. Receive, sort, and distribute mail and other documents to department staff. Types, proofreads, copies, files, and distributes all letters, documents, memos, and other communications for the department and administrators. Orders supplies for the department. Prepare monthly budget/expense report for department. Process purchase orders monthly for payment of contract services. Assist administrators on projects as needed. Keep up with changes in policy and procedures. Keep current all assigned files, documentation, & forms. Responsible for properly maintaining district records, adhering to all policies set forth by the district for records maintenance and learning the records retention schedule for department records. Other duties as assigned.
