Job Description

The Administrative Assistant provides general office support for a variety of clerical activities and tasks, including answering incoming calls, managing mail, requisitioning supplies, and organizing office communication and activities on a day-to-day basis.
Essential Responsibilities:
Answers and directs phone calls. Organizes and schedules meetings and appointments. Maintains contact lists. Produces and distributes correspondence, memos, letters, faxes, and forms. Orders office supplies. Provides general support and terminal information to customers and visitors. Communicates operational updates. Places labor orders. Maintains vessel arrival schedule. Liaises with other offices for closeout of completed vessels. Other duties as assigned.
Requirements:
Qualifications:
2+ years of administrative experience. Knowledge of office management systems and procedures. Experience with MS Office Suite. Excellent time management skills and ability to multitask and prioritize work. Attention to detail and problem-solving skills. Excellent written and verbal communication skills. Strong organizational and planning skills.
Work environment:
Required job duties are normally performed in a climate-controlled office environment. Exposure to computer screens. The office staff may be required to work outside on their feet 3-5 times a day, several times a week, depending on the workload. Exposed to outside weather conditions.
