Job Description

JOB SUMMARY
Answer phones, file reports, and receipt monies. Maintain monthly employee work schedule. Maintain the well-being of the residents. Assist in the Dining Room. Tour prospective residents and give them a brochure. Responsible for Property Ware software system and QuickBooks for store sales and monthly rents. Assemble an accurate monthly rent sheet. Be familiar with our activity programs, safety concerns for our residents, Terrace amenities, and office procedures. Able to be on call on weekends.
EDUCATION AND EXPERIENCE
Must be able to speak, read, and write English. Must possess the ability to understand and follow oral and written instructions. Minimum of one year computer and office experience. Familiarity with personal computers and word processing software. Must possess sight/hearing senses or use prosthetics that will enable these senses to function adequately to ensure the requirements of the position can be fully met. Must be able to relate to and work with ill, disabled, elderly, emotionally upset people within the facility. High School Graduate or work experience.
JOB DUTIES
Answer phone calls, take and deliver all messages. File reports and receipt monies for rent, meals, etc. Post all guest meals and other charges to resident accounts and prepare rent collection form with all charges by the last week of the month. Receipt all monies taken in on rent charges and receipt all miscellaneous monies. Maintain monthly employee work schedule and get replacements to cover absences due to illness, vacation, or emergency. May be called upon to fill in for employee if unable to get a replacement. Monitor the well-being of the residents. Answer resident emergency calls and follow up as policy states or take necessary action to assist the resident. Answer questions of residents, family members and visitors to the best of your ability. If uncertain refer to manager. Be alert to behavior pattern changes of residents and notify manager of changes. Assist in recreational activities programs as directed by the manager and encourage residents to participate. Safety is important. Be knowledgeable of the fire evacuation procedures, the emergency alert system, and medical responses from emergency response personnel. Follow established procedure guide. Call Residents for trays, maintain meal count and assist in the Dining Room. May be asked to drive residents to appointments if necessary.
DIRECTION RECEIVED
Reports to and receives instructions from the manager. Receives training from the manager.
PHYSICAL EFFORT
Must be able to bend, walk, stand, push and crouch in order to work bottom file drawers and clean. Must be able to cope with mental and emotional stress.
ACCOUNTABILITY
Must keep miscellaneous cash accounted for and accurate. Responsible for writing up rent checks. Must keep account of work orders.
CONTACTS
Must relate well with the residents, and general public, especially family of the residents. Proper telephone etiquette is vital at all times.
WORK ENVIRONMENT
Office has many interruptions. Must be able to handle stress and possess patience, compassion and understanding of mentally depressed or physically handicapped elderly.
