Primary Function:
This position is responsible for data processing of student grades, demographic information, schedules, teacher timetables and other related data. (Job Knowledge) 1. High School Diploma or GED 2. Must have minimum 3 years clerical experience 3. Minimum of 45-50 wpm typing 4. Experience in basic computer operations 5. Above average oral and written communication skills 6. Experience in operating basic office equipment (Work Environment): Office Environment (Safety Hazard): Rays from computer screens can be harmful to the eyes. Long hours of data input can cause wrist and hand pain. Noise from the printers can be harmful to hearing.

PRINCIPAL ACTIVITIES
(Major and Specific) 1. Sets up all student numbers, course numbers, dates, directories, school parameters and codes. 2. Helps prepare choice cards. 3. Inputs course selection sheets. 4. Scans or manually inputs course selection sheet. 5. Prints student course selection verification slips. 6. Prints counselor's copy of course selection verification slips. 7. Makes corrections on course selections. 8. Inputs master timetable into Columbia computer system. 9. Schedules students into classes. 10. Makes adjustments and corrections to students' schedules prior to registration. 11. Prints student schedules for registration. 12. Prints six copies of schedules for offices. 13. Prints class list or attendance sheets for teachers. 14. Deletes no shows. 15. Schedules all new (to district) students. 16. Prints copies of schedules for administrators' and counselors' offices. 17. Works with attendance clerks to balance entry/withdrawal. 18. Ensures that schedule changes are kept up-to-date. 19. Be in charge of time management for reports, scanning, input/update, etc. 20. Inputs and updates demographic information on students. 21. Prints academic progress forms (grade sheets). 22. Corrects edit list. 23. Prints grade marks gathering proof reports for teachers every six weeks. 24. Prints grade cards and distributes to teachers. 25. Prints reports for all offices. 26. Prints Student Permanent Transcript Labels (AAR). 27. Creates and maintains all records on each student (grades, demographic, attendance, etc.). 28. Creates and maintains all information on classes. 29. Oversees system management. 30. Handles repairs and problems for each work station. 31. Oversees input. 32. Keeps directories updates. 33. Inventories and orders computer supplies. 34. Keeps up with maintenance of machines. 35. Makes backup disk with program. 36. Keeps track of migrant students. 37. Prints reports for migrant office. 38. Keeps all data on Special Education students updated. 39. Prints reports for Special Education office. 40. Makes contact hour report for vocational students. 41. Prints reports for Vocational office. 42. Prints mailing labels for all student mail outs. 43. Prints list for all military and business use. 44. Files all reports that are kept for five years. 45. Inputs test scores. 46. Makes report card copies for Upward Bound, HAC, TAPP, 7001 Migrant, Special Education, CTE. 47. Makes updates for ESL, Federal Connection, HARP/Placed. 48. Inputs withdrawals Codes. 49. Maintains student groups for UIL failure reports. 50. Collects all student information for PEIMS input. 51. Collaborates with the Academic Dean and Registrar for the Building of the Master Schedule. 52. Prints student course tally and other reports necessary for the Building of the Master Schedule. 53. Constructs forms used to aid in the process of the Building of the Master Schedule. 54. Revises or completely reconstructs the Choice Slip Forms (2) that students turn in. 55. Revises or completely reconstructs the Catalog of Course handbook that is given to every high school student. 56. Inputs students' progress report into the phone master. 57. Prints student profiles for Assistant Principals when requested. 58. Withdraws students from the Columbia System. 59. Prints period absences profile for every withdrawn student. 60. Transfers grades to report card when there has been a grade change. 61. Prepares new school year process in Columbia (Mandatory Process). 62. Runs year-end process in Columbia (Mandatory Process). 63. Stuffs end-of-year report cards for mailing. 64. Translates for Spanish speaking parents. 65. Collects and runs grade extraction for PEIMS report. 66. Works closely with the Attendance Office. 67. Performs other job-related duties as may be assigned by the Campus Principal, Academic Dean or designee.
