High School diploma or GED Experience in office administration and facilities coordination. Strong written and verbal communication skills, with exceptional attention to detail and accuracy. Demonstrated ability to independently manage multiple priorities, meet deadlines, and adapt to changing demands in a fast-paced environment. Ability to handle confidential and sensitive information with professionalism, discretion, and sound judgment. Experience with filing systems, records management, archiving, and accurate data entry. Proficient in Microsoft Office 365 (Word, Excel, Outlook, Teams, SharePoint), Adobe Acrobat, and general office technology) Experience with a travel coordination program and/or software
Preferred Qualifications:
Previous experience in higher education Experience with Texas State programs, including SAP, Concur, and Handshake Experience supervising and training student workers Familiarity with event coordination
Job Description:
The Meadows Center for Water and the Environment (The Meadows Center) is an official university-level research center at Texas State University. Our work in each of these pillars begins at Spring Lake âEUR" one of the largest artesian springs in the world âEUR" and ripples outward across Texas and beyond. The Meadows Center is seeking a highly organized and detail-oriented Administrative Assistant II to support the daily operations of our front office. This essential role includes managing front desk operations, coordinating facility needs, and providing comprehensive support to both staff and visitors. The ideal candidate will thrive in a fast-paced, customer-focused environment and play a key role in maintaining a professional and welcoming atmosphere. This position also involves directly supervising, training, and scheduling student workers.
Job Duties:
Manage daily office operations including opening/closing procedures, building access, facility needs, guest parking, mail, shipments, supplies, and records. Serve as the primary point of contact for visitors, students, staff, faculty, and external partners. Provide administrative support through scheduling, document. preparation, proofreading, data entry, filing, and archiving. Oversee conference room logistics, special projects, and office events. Coordinate travel arrangements and finalize expense reimbursements. Recruit, train, schedule, and supervise student workers. Perform other duties as assigned. Additional Information to
