Our team consists of 10 in-office employees and seven remote employees. We are seeking a professional, dependable, and detail-oriented Administrative Assistant to provide client service and administrative support to our tax preparation team. This position is responsible for answering incoming calls, assisting clients, processing tax returns, and maintaining accurate and confidential client records. Primary Responsibilities
- Answer incoming telephone calls and direct clients to the appropriate team member.
- Greet clients and receive tax documents and other information.
- Scan, organize, and maintain electronic client records.
- Assemble, process, and deliver completed tax returns.
- Track electronic filing authorizations, signatures, and outstanding client information.
- Communicate with clients regarding missing documents and administrative matters.
- Assist with email correspondence, scheduling, mailing, and general office duties.
- Coordinate with both in-office and remote team members.
- Maintain the confidentiality of all client, financial, and tax information. Qualifications
- Previous administrative, receptionist, or professional office experience.
- Strong verbal and written communication skills.
- Professional and courteous telephone manner.
- Excellent organizational skills and attention to detail.
- Proficiency with Microsoft Outlook, Word, and Excel.
- Comfortable using scanners, email, and electronic document-management systems.
- Ability to prioritize assignments, manage multiple responsibilities, and meet deadlines.
- Dependable attendance and willingness to learn new systems and procedures.
