This role is essential in ensuring smooth administrative workflows, providing excellent customer service to parents and visitors, and maintaining an efficient office atmosphere. The ideal candidate will be energetic, detail-oriented, and possess strong communication skills to manage front desk responsibilities, handle clerical tasks, and support office management functions. Bilingual abilities are highly valued to assist a diverse community of families and staff. Duties Greet visitors, parents, and staff with professionalism and warmth at the front desk Manage multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette Handle data entry tasks accurately within office management software ( Procare or Brightwheel) and maintain organized filing systems Support calendar management for administrative staff and coordinate appointments or meetings as needed Assist with clerical tasks such as proofreading documents, preparing correspondence, and maintaining confidential information securely Support classroom staff with administrative needs, including supply ordering or student record keeping Maintain a clean and organized office environment to promote productivity and positive visitor experiences Experience Previous office experience in an educational or childcare setting is preferred but not required with Procare or Brightwheel CDA is preferred Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy is required Experience with data entry, bookkeeping, and managing multi-line phone systems is highly desirable Bilingual skills in English and another language are a plus to effectively communicate with diverse families Demonstrated organizational skills with the ability to prioritize tasks efficiently Excellent customer service skills with professional phone communication and client interaction experience Knowledge of Federal Food Program a plus Knowledge of basic marketing with Instagram, TicToc , Facebook.
