The Administrative Assistant position provides operational support with responsibilities covering a wide array of activities. This position supports many current and new developing tasks and/or projects. This position isn an on-site temporary role. This role is a 40+ hours a week at our Mepco Facility.
SKILLS REQUIRED ORGANIZATIONAL
Exceptional ability to multitask, prioritize, and manage time and resources effectively. Excellent time management skills with a proven ability to meet deadlines. Excellent organizational skills and attention to detail. Display ownership and accountability for tasks and responsibilities.
INTERPERSONAL
Excellent interpersonal and customer service skills. Excellent verbal and written communication skills. Working understanding of human resource principles, practices, and procedures.
ADMINISTRATIVE & TECHNOLOGIES
Proficient with Microsoft Office Suite or related software. Must have basic knowledge of Excel formulas, Microsoft Outlook, and formatting knowledge in Word.
PRIMAMRY ROLE RESPONSIBILITIES
Document Control and email correspondence filing. Receive and enter timecards into JobBOSS. Manages employees shift change in JobBoss. Trains employees on time entry processes. Creates barcodes for employee time badges. Supports the RMS phone system. Data Book Once a related job is completed, ensure all documents are in the Data Book. On a weekly basis review JobBOSS reports with General Manager and upload to SharePoint accordingly. Save copies of field timesheets to job files. Review and provide location specific reporting. Assist with Customer packing lists/shipping documents. Make copies for job files. Manage all shipping and receiving documents along with the pending folders. Receive packing lists and ensure that someone has reviewed/approved the shipment and then receive it in JobBOSS. Make any notations if everything was not received. Save copies of Tickets/POs to respective job folders. Receive customer orders or new sales orders written/verbal. Open/assign job numbers. Create job folders and shop traveler/work packet. Hang the job packet on the job board. Create daily open jobs report and distribute. Once the job is shipped/completed, ensure all documents are in job folder. Assist and coordinate safety training with HR/Safety as well as 3rd party providers. Coordinate paperwork for safety drug testing as needed. Assist with field and shop operations. Order office supplies and maintain the supply inventory. Take Manager and ISO Meeting Minutes. Other projects as assigned, and responsibilities may be added at the company's discretion.

REQUIRED EXPERIENCE & QUALIFICATIONS
Minimum 1
•3 Years of related experience.
REQUIRED EDUCATION
High School Diploma / GED from an accredited school or institution.
ADDITIONAL INFORMATION
The position will be based in our BJ Superior facility in Houston, TX 77034 Travel time is expected to be 0
•5%. Base Hours 8:00 a.m. to 5:00 p.m. Monday
•Friday This is a full-time position, with a minimum expectation of 40+ hours per week. Additional hours, including evenings or weekends may be required based on business needs. While performing the duties of this position the employee will be required to stand, sit, bend and walk for significant portions of the shift. Ability and willingness to lift objects weighing up to 30 lbs. (50 lbs. with assistance) This position can be required to participate in the company random or customer specific drug and alcohol screening and background check. Able to understand, read, write, and speak English. Authorized to work in the United States. Must be able to pass pre-employment Drug, Alcohol and Background check. This position can be required to participate in the company or customer random drug and alcohol screening policy. RMS Inc. may have government contracts that impose specific requirements on employees working on those projects. If an employee does not meet these requirements, they may be reassigned to a different location or be ineligible to work on certain assignments.
WORK ENVIRONMENT
Office Environment on a regular basis. While performing the duties of this position, the employee may enter a shop environment and will be exposed to moving mechanical parts. While the work area may be described as generally clean, safe, and "not loud", there will be machine operations that generate moderate noise and metal particles.
