Job Description

MEGlobal Americas Inc. is seeking an Administrative Assistant to join our team at our Sugar Land, TX office. The Administrative Assistant serves as a key resource for managing office administration, planning and coordinating office activities, maintaining a professional and efficient work environment, and supporting smooth day-to-day operations for MEGlobal Americas Inc.'s Sugar Land Office. This role requires exceptional organizational skills, discretion, confidentiality, and the ability to manage multiple priorities in order to accomplish business objectives. Principal Accountabilities Use MS Office, SAP and other software as necessary to prepare reports, procedures, letters, presentations and other documents, as required; Schedule, attend and participate in meetings as directed, including facilitating, taking notes/minutes and keeping time as required; Coordinate and work with Human Resources to ensure that audits are conducted for employees and/or contractors leaving the Sugar Land Office; Manage Sugar Land Office contracts, including, but not limited to the Sugar Land Office lease, cell phone services, floral services, internet and telecom services, and other vendors providing goods and services to the Sugar Land Office; Create purchase requisitions to purchase equipment and supplies as required;
Communications:
  • Establish and maintain internal Sugar Land Office distribution lists
  • Establish and maintain Sugar Land Office evacuation lists, and
  • Prepare announcements, communications and bulletin boards, etc.
as directed; Coordinate USPS and courier pickup and delivery, and screen and distribute mail and courier deliveries; Return and/or order workstations, desk phone connections, and company-issued cell phones as directed; Coordinate and manage relationship with the American Chemistry Council and other industry groups as directed;
Event Planning:
  • Coordinate annual American Fuel & Petrochemical Manufacturers conference logistics and any other business conferences as direct, and
  • Plan and manage all Sugar Land Office events, including, but not limited to, meetings, holiday parties, volunteer events, and executive visits from initial planning through event cleanup
  • Maintain all safety related equipment and supplies
  • Screen and distribute incoming calls, and emails to various general mailboxes; Serve as liaison between the Sugar Land Office and building management and all vendors who provide goods and services to the Sugar Land Office; Prepare and manage the Sugar Land Office budget, calendar, and expense reports as directed; Serve as a Safety Warden of the
Sugar Land Office:
  • Maintain all safety related equipment and supplies
  • Hold regular safety meetings
  • Prepare and distribute emergency communications if and as needed
  • Assist with response to emergencies if and as needed, and
  • Communicate with first responders if and as needed; Assist IT as required in maintaining fully functional services in the Sugar Land Office; Manage and maintain certain Sugar Land Office SharePoint folders and files; and Coordinate local travel needs for visiting leaders.
Knowledge, Skills and Experience Minimum of 10 years' previous experience in an Administrative Assistant / Office Professional role is preferred; Advanced level of application expertise with MS Office products (Excel, Word, PowerPoint, Outlook, SharePoint, Office 365); Experience with SAP (or equivalent system) is an advantage; Ability to communicate verbally and in writing with clarity, courtesy and tact; High attention to detail; Ability to multitask, possesses excellent communication skills and learn quickly; Exercise sound judgment and initiative to identify needs, resolve issues, and implement solutions; and Must be able to work with sensitive information and maintain confidentiality.
