FIRST COLONY COMMUNITY SERVICES ASSOCIATION INC
is a real estate-focused community services organization based at 4350 Austin Parkway in Sugar Land, Texas. The association supports residents and property owners through governance, maintenance, and community engagement services. Team members work closely with local stakeholders to help preserve property values and enhance quality of life within the community. The organization offers a professional, service-oriented environment for individuals interested in community relations and homeowner association operations.
Role Description:
The Member Services Coordinator reporting to the Director of Community Relations, is a full-time, on-site role based in Sugar Land, TX. This position serves as a primary point of contact for FCCSA homeowners, residents, and guests while providing administrative support across the Association. The ideal candidate is a strong communicator who enjoys helping people, can manage multiple priorities, and takes pride in providing excellent customer service. What We're Looking For Candidates should have a high school diploma or equivalent and at least one year of successful administrative, front desk, or receptionist experience . HOA experience is a plus! An associate or bachelor's degree and/or related certifications are preferred. The successful candidate should also have strong interpersonal and communication skills, be comfortable using workplace technology and cloud-based software, and be able to work effectively with homeowners, staff, management, board members, and vendors. A valid Texas driver's license and required automobile insurance are also required for Association business. What Success Looks Like We're looking for someone who demonstrates accuracy and timeliness, effective communication, and outstanding internal and external customer service .   • Provides excellent customer service to all homeowners and guests.
  • Membership support to include communication with homeowners that have been sent violation notices.
  • Create action plans to resolve violations and facilitate applications to the Property Improvement Committee.
  • Maintain detailed records of each interaction with members.
  • Maintain an organized and professional desk/reception area.
  • Greet all visitors in a prompt and courteous manner and assist with general and frequent requests. Direct complex questions/issues to appropriate department.
  • Operate multi-line telephone system to answer incoming calls and directs callers to appropriate personnel or department; ensure phone coverage during meetings, out of office, etc.
  • Retrieve messages from voice mail and general e-mail; forward to appropriate personnel.
  • Receives daily mail, process and distribute to appropriate person/department. Distribute mail to appropriate mailboxes.
  • Converse with customers by phone, in person or via e-mail when receiving requests for service.
  • Performs online pool access, kayak rentals, facility rentals and credit card transactions. This includes cancellations and refunds.
  • Performs key card distribution for all amenities.
  • Collect and properly log assessment payments and issue receipts; collect user fees as necessary.
  • Maintain Association handouts and informational materials; updated compliance guidelines.
  • Update employee information in database (addresses, birthdates, phone list).
  • Update PowerPoint presentation for front office monitor in coordination with Community Relations.
  • Coordinate conference room scheduling.
  • Stock the breakroom.
  • Attends all required meetings and events.
  • Ensure team collaboration and effective communication with all team members and stakeholders.

Full-time Pay:
$20.00 - $22.00 per hour
