Overview We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. The ideal candidate will bring strong administrative skills, technical proficiency, and a friendly attitude to foster a welcoming and productive workplace. Duties Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy Perform data entry and maintain accurate records using spreadsheets, Microsoft Office, Google Workspace, and other productivity software Assist with calendar management and schedule appointments or meetings for staff members Support office management tasks such as filing, organizing documents, and maintaining supplies inventory Provide customer support by responding to inquiries via phone, email, or in person while demonstrating excellent phone etiquette and client communication skills Utilize QuickBooks for basic bookkeeping tasks such as invoicing or expense tracking when needed Coordinate with team members to ensure smooth office workflow and timely completion of administrative tasks Requirements Proven experience in an office environment with clerical or administrative responsibilities Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and productivity software Excellent organizational skills with the ability to prioritize tasks effectively Exceptional communication skills, both verbal and written, with bilingual ability considered a plus Experience managing multi-line phone systems and providing customer service at the front desk Familiarity with data entry, filing systems, and basic bookkeeping using QuickBooks or similar software Demonstrated ability to handle multiple tasks simultaneously while maintaining attention to detail Personal assistant experience or medical receptionist background is advantageous but not required Join us in creating a vibrant office environment where your organizational talents make a real difference!
