Part Time Non-Exempt (FLSA) Reports to: Development Director Overview The objective of CampV's Development Assistant is to provide administrative and operational support to the Development Director and Development Department. This position will assist with donor records and stewardship, fundraising campaigns, sponsorships, grants, special events, and other development activities that support CampV's mission. The Development Assistant will work closely with the Development Director to help maintain accurate records, organize development activities, prepare materials, conduct research, and ensure timely follow-up with donors, sponsors, foundations, and community partners. This is a part-time position working up to 29 hours per week. Primary Responsibilities Under the supervision of the Development Director, the Development Assistant will:
  • Maintains CampV's donor database, including entering and updating donor information, gifts, pledges, notes, and other pertinent records in Bloomerang
  • Conducts timely donor stewardship activities to include donation acknowledgements, thank-you letters, tax receipts, and other donor correspondence
  • Schedule and prepare for donor and sponsor meetings, campus tours, presentations, and other cultivation activities
  • Conduct research on prospective individual donors, corporate partners, sponsors, foundations, and other potential funding opportunities
  • Assist with grant research and maintain grant files, calendars, deadlines, supporting documentation, and reporting requirements
  • Provide administrative support for annual giving campaigns, recurring giving programs, special appeals, and other fundraising initiatives
  • Maintains sponsorship administration, including preparation and maintaining sponsor records, tracking commitments and payments, presentations, reports, and documenting sponsorship benefits
  • Provide administrative support for CampV fundraising events and campaigns, including Rose City Airfest, Bets Fur Vets, East Texas Giving Day, year-end giving efforts, and other events as assigned
  • Assist the Development Director with preparation of Development Committee materials, reports, fundraising updates, and other internal documents
  • Maintain Development calendars, task lists, deadlines, and follow-up items to help ensure timely completion of fundraising and stewardship activities
  • Maintain confidentiality of donor, financial, client, and organizational information
  • Complete other Development-related duties and special projects assigned by the Development Director Required Qualifications
  • High school diploma or equivalent required; college coursework or professional experience in business, nonprofit management, fundraising, administrative support, communications, or a related field preferred
  • Previous administrative, nonprofit, fundraising, customer service, or office experience preferred
  • Strong organizational skills and detail-oriented approach
  • Ability to prioritize assignments, manage multiple tasks, meet deadlines, and work with minimal direction
  • Effective oral and written communication skills
  • Professional and courteous demeanor when interacting with donors, sponsors, Veterans, volunteers, community partners, staff, and the public
  • Workplace experience with Microsoft Office Suite; experience with CRM or donor management software preferred, with Bloomerang experience a plus
  • Ability and willingness to learn new software, systems, and Development procedures
  • Must be able to attend occasional evening and weekend fundraising events as needed
  • Military experience or knowledge a plus
  • A valid driver's license and reliable access to transportation Schedule This is a part-time position of up to 29 hours per week.
The regular work schedule will be established by the Development Director based on the needs of the Development Department and CampV. Occasional evening or weekend hours may be required for fundraising events, donor activities, or other organizational events. General Staff Expectations CampV is a collegial work-setting. Staff are expected to contribute to the team's work and sense of collegiality. In addition to their primary duties, staff are expected to assist with the planning and execution of organization fundraising events and public programs, maintain relationships with all service providers and stakeholders, comply with and uphold organizational policies and procedures, attend weekend and evening events to promote CampV and support its partners, and complete all other duties as assigned.
