Job Overview We are seeking a dynamic and friendly Front Desk Agent to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative processes. Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems to handle incoming calls efficiently, directing inquiries appropriately Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office and QuickBooks Assist with calendar management and scheduling appointments for staff or clients Handle clerical tasks including proofreading documents, managing correspondence, and organizing office supplies Support office management activities by coordinating meetings, preparing reports, and maintaining organized filing systems Provide excellent customer support by addressing inquiries, resolving issues, and ensuring a positive experience for all stakeholders Requirements Proven experience in office administration or front desk roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry tasks Technical proficiency with computer literacy including typing speed and accuracy, proofreading, and file management Experience working with multi-line phone systems and phone etiquette to communicate clearly and professionally Bilingual abilities are highly desirable to assist diverse client needs effectively Knowledge of QuickBooks or similar accounting software is a plus for handling financial transactions Excellent time management skills with the ability to prioritize tasks efficiently in a busy environment Previous customer service or client communication experience that demonstrates professionalism and patience Strong organizational skills with attention to detail in filing, data entry, and document proofreading Personal assistant or administrative experience that includes calendar management is advantageous Join us as a Front Desk Agent where your enthusiasm meets your expertise!
