Job Description Summary:

The Administrative Technician is responsible for providing primary administrative and overall support and coordination for the Engineering department's inspection team. Job Responsibilities Facilitates the ordering and purchasing of equipment, supplies and uniforms for inspectors and documents assignments of such. Keeps up with truck maintenance schedules and assignment of drivers. Maintains up-to-date records for training and equipment assigned to inspectors. Answers telephone and take messages. Distributes incoming mail and prepares outgoing correspondence and packages. Arranges for meetings including organizing material, reserving room, setting it up for virtual and coordinating amenities. Collects timesheets from outsourced inspection and approve invoices for the outsourced inspection Collects fuel receipts and boot reimbursement forms and prepares them to be turned in to the appropriate parties. Makes changes in Projectmates needed for project assignments to inspectors. Sets up interviews for new inspectors and coordinates the onboarding of new hires. Assists with development and preparation of the department annual budget. Performs other duties as assigned.

Job Requirements Education & Experience:

Must possess a high school diploma or G.E.D. Three years of previous administrative experience. Requires a valid Texas Driver's License.

Knowledge, Skills & Abilities:

This position requires typing at a minimum of 60 wpm. Position requires ability to organize data using Microsoft Word, Excel, Power Point and other software applications. This position requires the ability to calculate, compute, summate, and/or tabulate data and/or information Accuracy and attention to detail are critical. Requires ability to track and process critical correspondence including invoices in a timely manner. Knowledge of Projectmates, Laserfiche and Maximo is a plus. Environmental and Physical Working Conditions Driving a District vehicle for business will be required. Employees required to drive as part of their job duties are responsible for maintaining a current, valid, and vehicle - appropriate driver' s license of their resident state. This position requires minimum physical exertion with daily lifting requirements up to 10 pounds. Significant finger dexterity required. Activities may include carrying office materials, inspector supplies, pulling and pushing file drawers and organizing paperwork. Duties are almost always carried out in an office environment. Equipment utilized includes a network computer system and/or a personal computer, various printers, calculators, copier and telephone.
