Integrative Health Group is seeking an energetic, dependable, and well-rounded Front Office Coordinator/Medical Assistant to join our growing integrative healthcare practice in Lehi, Utah. Our clinic focuses on helping patients improve their overall health through hormone optimization, weight management, nutrition, cardiovascular health, IV therapy, and other integrative and wellness-focused services. This position combines Front-office and administrative duties with Medical Assistant responsibilities . The ideal candidate is comfortable moving between direct patient care, phlebotomy, scheduling, patient communication, payment collection, inventory management, and general office responsibilities. We are looking for someone who is friendly, proactive, organized, detail-oriented, and motivated to contribute to the continued growth and success of the practice. Essential Duties & Responsibilities Clinical & Patient Care Obtain and accurately document patient health information, including vital signs, medication information, health histories, and other information requested by the provider. Prepare patients for appointments and assist providers with patient care as appropriate. Perform phlebotomy and collect, prepare, label, and process laboratory specimens. Assist with and perform IV placement and IV infusions within training, certification, and applicable scope of practice. Assist with injections and other clinical procedures as permitted by training and applicable scope of practice. Prepare examination and treatment rooms before and after patient visits. Maintain appropriate clinical supplies and ensure patient-care areas remain clean, organized, and properly stocked. Follow established infection-control, safety, and clinical protocols. Recognize patient concerns requiring clinical attention and promptly communicate them to the appropriate licensed provider. Front Office & Patient Communication Provide professional and courteous service to patients in person, by telephone, email, text, and other approved communication methods. Answer and screen incoming telephone calls, take accurate messages, and route clinical questions to the appropriate provider or staff member. Monitor and respond appropriately to voicemail, email, and other patient communications. Manage patient check-in and check-out processes. Schedule, confirm, reschedule, and cancel patient appointments. Coordinate referrals and assist with scheduling outside laboratory testing, imaging, consultations, and other services when necessary. Communicate appointment instructions and other non-clinical information to patients. Maintain a professional, welcoming, and patient-focused environment. Scheduling & Provider Support Maintain accurate and efficient provider schedules. Assist with coordinating patient appointments, consultations, meetings, and other provider scheduling needs. Help maximize provider productivity through effective scheduling and communication. Communicate scheduling changes and patient needs to providers and other clinic staff. Assist providers with reports, forms, patient histories, records, and other administrative documentation as requested. Patient Records & Administrative Duties Maintain accurate and organized electronic and physical patient records. Scan, file, retrieve, and appropriately distribute medical records, laboratory reports, correspondence, and other documentation. Process incoming and outgoing documents, records, mail, and electronic communications. Maintain accurate patient demographic and contact information. Assist with medical record requests and other documentation as directed. Maintain effective filing and retrieval systems for patient and administrative information. Accurately enter information into the clinic's electronic health record, scheduling, POS, and other software systems. Payments & Patient Accounts Collect patient payments at the time of service. Process payments accurately through the clinic's point-of-sale and payment systems. Assist patients with basic questions regarding balances, invoices, and payment requirements. Make payment reminder or collection calls when directed. Accurately document financial transactions and follow established clinic procedures for handling patient payments. Assist with supplement, product, and other clinic purchases. Inventory & Office Operations Monitor clinical, office, supplement, and patient-care inventory. Stock and organize clinical rooms, storage areas, supplement displays, and other inventory areas. Anticipate supply needs and communicate or place orders as directed. Receive shipments and verify orders for accuracy. Assist with filling and preparing supplement or product orders for patients, including shipping when applicable. Monitor office and clinical equipment and notify management when maintenance or repair is required. Help maintain clean, organized, professional, and functional patient and staff areas. Confidentiality, Compliance & Safety Maintain patient confidentiality and protect all patient health information in accordance with HIPAA, clinic policies, and applicable federal and state requirements. Follow established clinical, administrative, safety, and quality-control policies and procedures. Maintain appropriate professional boundaries and operate within applicable training, certification, licensure, and scope-of-practice requirements. Complete required documentation accurately and in a timely manner. Participate in required staff meetings, training, and continuing education. Maintain CPR/BLS certification as required. Training may be provided or coordinated by Integrative Health Group if needed. Immediately report patient safety concerns, privacy concerns, clinical issues, or other significant problems to the appropriate provider or supervisor. Contribute positively to the clinic's culture, reputation, and patient experience. Required Qualifications Candidates should have one of the following: Medical Assistant training/certification and at least one year of relevant clinical experience; or Current EMT or Paramedic certification/licensure with at least one year of relevant clinical experience.
Candidates should also have:
Phlebotomy experience. Experience obtaining and documenting patient vital signs and health information. Strong computer skills. Experience with electronic medical records, scheduling software, POS systems, or similar healthcare technology. Strong telephone, typing, and written communication skills. Excellent organizational and time-management abilities. Ability to maintain confidentiality and appropriately handle sensitive patient information. Preferred Qualifications IV placement and IV infusion experience. Previous experience in a high-volume medical office, integrative medicine practice, urgent care, outpatient clinic, or similar healthcare environment. Experience with hormone replacement therapy, weight-management programs, IV therapy, or integrative medicine. Experience with inventory management and supplement sales. CPR/BLS certification. Strong proficiency with medical office software and electronic health records.

In person; this is not a remote position Physical & Job Requirements This position requires the ability to: Remain standing or seated for extended periods during the workday. Move throughout the clinic and between front-office and clinical areas. Safely perform clinical duties including phlebotomy and IV-related procedures. Use computers, telephones, electronic medical records, and other office equipment throughout the workday. Maintain concentration and accuracy while managing multiple patients, communications, and responsibilities. General Expectations As a member of a growing practice, the Medical Assistant / Front Office Coordinator may occasionally be asked to assist with responsibilities outside of the duties specifically listed above. The employee is expected to work collaboratively with the entire Integrative Health Group team and help identify opportunities to improve patient care, customer service, efficiency, and clinic operations. Duties and responsibilities may be modified as clinic needs, services, and operations evolve.

$19.00 - $24.00 per hour Expected hours: 32.0 - 36.0 per week
