Job Description

Utah Arts Academy (UAA) , a public charter high school in St. George, Utah, is seeking a full-time Administrative Assistant to join our team as soon as possible. Utah Arts Academy is committed to providing an exceptional educational experience that combines rigorous academics with outstanding arts programs in a supportive and inclusive environment. We are looking for an individual who will embrace our mission, contribute positively to our school culture, and treat every student, parent, and visitor with professionalism, kindness, and respect. The Administrative Assistant serves as the first point of contact for students, parents, staff, and visitors. As the face of the school, this individual must be friendly, welcoming, and an excellent communicator. The successful candidate will be highly organized, detail-oriented, flexible, and able to manage multiple responsibilities while maintaining a positive attitude. This position plays a vital role in the daily operations of the school and is an integral member of the administrative team. Primary Responsibilities Front Office & Customer Service Welcome students, parents, staff, and visitors. Answer and direct phone calls, emails, and general inquiries. Serve as the first point of contact for the school while providing outstanding customer service. Support daily front office operations. Student Information & Registrar Services Assist with student enrollment, registration, withdrawals, and records. Maintain student information in the Student Information System (Aspire SIS preferred). Process transcripts, cumulative records, immunization documentation, and other student records. Assist with required state reporting and compliance. Administrative Support Manage calendars, appointments, correspondence, and filing systems. Prepare reports, forms, meeting materials, and other documents. Provide administrative support to school leadership and counseling staff. Assist with school communications and special projects. Financial & Office Operations Process student fees, payments, purchase orders, deposits, and other routine financial transactions. Assist with office supply ordering, mail distribution, shipping, and vendor coordination. Maintain accurate records and documentation. School Operations & Event Coordination Coordinate substitute teacher scheduling and daily staff coverage. Assist with graduation activities, Picture Day, student events, performances, and other school functions. Support Board of Directors meetings and maintain required documentation. Help coordinate school safety documentation and emergency preparedness materials. General Responsibilities Participate in required state and school training. Maintain confidentiality of student and personnel information. Perform other duties as assigned to support the efficient operation of the school.
Qualifications Typical work schedule:
Monday-Friday, 7:30 a.m. to 3:30 p.m. Excellent interpersonal, customer service, and communication skills. Strong organizational skills with exceptional attention to detail. Ability to prioritize multiple tasks in a fast-paced environment. Proficiency with Google Workspace (Gmail, Docs, Sheets, Calendar) and Microsoft Office applications. Ability to maintain confidentiality and exercise sound judgment. Experience with student information systems is preferred; Aspire SIS experience is highly desirable. Previous administrative or office experience is preferred. College degree preferred, but not required. Must successfully pass a criminal background check. $47,000.00 - $50,000.00 per year
