Job Summary Provides secretarial and other support services to the Career Center Coordinator/Program Manager. Act as an active part of the Career & Technical Education (CTE) team at the high school. Cover for the Career Coordinator in his/her absence providing student career presentations and answering questions related to course offerings, industry demand and training needed for specific careers. Assist students in accessing off-campus programs. Assist the work-based learning specialist. Provide bookkeeping and budget-monitoring services. Assist with CTE skill certification testing. Maintain computer lab and assist with student career exploration activities. Assist students and teachers with concurrent enrollment requirements. Act as the first point of contact in the Career Center for other educators, students, parents, business and other community representatives. Provide tracking support for concurrent enrollment. Essential Functions Assists student career and college exploration activities (such as Career Fairs, College Scholarship Nights, classroom visits) for all high school students. Assists with instruction for students, patrons, and others in areas such as: College and Career exploration; college, military and business presentations; computer software for career and college exploration. Assists in the implementation of concurrent enrollment supporting tracking of information. Maintains continuity of the Career Center when Coordinator/Program manager is not available. Answers phones. Retrieves and returns voice mail messages. Non-Essential Functions Other duties as assigned. Required Knowledge, Skills and Abilities Requires skill in word processing (55 wpm), computer operation plus relevant software, work organization, operation of business machines, basic math, bookkeeping, oral and written communication and interpersonal relations. Ability to present to large groups of secondary students supporting career exploration activities Ability to learn new computer programs and to support others use of\ the programs Excellent interpersonal and public relations skills with the ability to use these skills during tense and stressful situations and with diverse population Excellent math and bookkeeping skills Excellent keyboarding skills (55 wpm preferred) Excellent written and oral communication skills with the ability to check written communication for spelling, grammar, punctuation and correct sentence and paragraph structure Skilled in the use of a computer for word processing, data entry, presentation and spreadsheet software (Word, Excel and PowerPoint) Ability to maintain a friendly, clean and orderly environment Ability to multi-task, with strong problem solving and decision making skills Willingness to work as a part of a team Minimum Entrance Requirements for Training and Education High school diploma or equivalent. Must have experience in office procedures, word processing and computer operation, including the internet, filing, oral and written communication and interpersonal relations. Must foster positive working relationships. Required Job Related Work Experience 12 months of full-time secretary related work experience preferred. Decision Making Authority Prioritizes own work. Determines quality of work done by secretarial staff. Determines work assignments and deadlines. Determines when to alert supervisor concerning potential budget overruns. Recommends solutions to problems to department director. Recommends software and other enhancements to supervisor. Non-Supervisory Interaction Interacts with all employee and community groups. Communicates with the district departments and administrators. Supervisory Responsibility None Working Environment Standard office conditions. Deals with multiple supervisors. Works on multiple assignments with deadlines. Handles concerned patrons and deals with frequent interruptions. Physical Demands Requires the ability to sit, stand, walk, stoop, kneel, crouch or crawl. Ability to reach with hands and arms, use hands to finger, handle or feel. Ability to talk or hear. Vision abilities include close vision, distance vision, color vision and ability to focus. Physical demands require moving and lifting supplies, equipment, etc. up to 25 pounds and occasionally lift and/or move up to 50 pounds.
