Job Description

Merit Preparatory Academy is seeking a dependable, organized, and detail-oriented Finance Secretary to support the financial operations of our school. This position works closely with school administration, employees, vendors, and our external financial services team to help ensure that purchasing, payments, payroll, benefits, and other financial processes are handled accurately and efficiently. The ideal candidate is trustworthy, highly organized, comfortable working with numbers and financial systems, and committed to providing friendly and professional support to the Merit community. Essential Duties and Responsibilities Manage day-to-day school financial transactions, including purchase orders, invoices, reimbursements, deposits, and payments. Coordinate purchasing through approved vendors and systems, including Utah Fits All (UFA) processes as applicable. Maintain accurate financial records, receipts, documentation, and account information. Assist with accounts payable and receivable and communicate with vendors regarding invoices and payments. Support payroll, employee benefits, and related financial processes in coordination with administration and outside providers. Assist employees with purchasing procedures, reimbursements, school credit cards, receipts, and finance-related questions. Track expenditures and help administrators and staff monitor departmental and program budgets. Assist with student fees, payments, deposits, and other school-related financial transactions. Prepare financial reports, spreadsheets, reconciliations, and documentation as needed. Support annual audits, budget preparation, year-end reporting, and other state and charter-school financial requirements. Maintain confidentiality and appropriately safeguard employee, student, vendor, and financial information. Work collaboratively with school leadership and staff to improve financial procedures and maintain efficient systems. Provide general administrative and front-office support as needed. Qualifications Education or training in accounting, finance, business, or a related field preferred. Experience with bookkeeping, accounting, payroll, purchasing, or financial office operations preferred. Strong attention to detail and commitment to accuracy. Excellent organizational skills and ability to manage multiple deadlines and responsibilities. Strong communication and customer-service skills. Proficiency with spreadsheets and standard office technology; experience with accounting or financial management systems preferred. Ability to learn Merit's financial systems, policies, and Utah public charter school requirements. High degree of professionalism, dependability, discretion, and integrity.
