Onsite Overview Seeking an experienced Administrative Assistant to provide administrative, clerical, and office support for a busy business environment. This role requires strong organizational skills, attention to detail, proficiency with Microsoft Office applications, and the ability to support multiple priorities in a fast-paced setting. Key Responsibilities Perform daily office administration duties including phones, filing, copying, mail handling, and document preparation. Process incoming and outgoing mail, overnight shipments, and certified mail. Welcome visitors and coordinate with vendors and consultants as needed. Order, track, and distribute office supplies, badges, food orders, and related materials. Complete data entry assignments with a high degree of accuracy. Maintain records, reports, files, spreadsheets, invoices, and documentation. Coordinate and support business processes, audits, and document management activities. Provide general administrative support across departments as needed. Assist with reception coverage when required. Coordinate travel arrangements and schedules as assigned. Review and analyze assigned transactions and records. Maintain cleanliness and organization of conference rooms, reception areas, kitchens, and shared spaces. Serve as a document control coordinator when required. Support additional projects and assignments as requested by management. Required Qualifications High School Diploma or equivalent required. 3 to 5 years of administrative support experience. Proficiency with Microsoft Office Suite, particularly Excel and Word. Strong organizational and time management skills. Ability to prioritize tasks and work independently. Excellent written and verbal communication skills. Strong customer service and interpersonal skills. Detail-oriented with strong problem-solving abilities. Ability to manage multiple priorities in a fast-paced environment. Dependable, adaptable, and professional. Comfortable working with employees at all levels of an organization. Preferred Qualifications Experience with commercial insurance documentation. Familiarity with ACORD insurance forms. Knowledge of procurement processes. Exposure to ISO certification standards. Work Environment Office-based position. Occasional work outside normal business hours may be required. Local travel by vehicle may be required, up to approximately 6% of the time. Physical Requirements Regular sitting, standing, walking, bending, kneeling, and lifting. Ability to lift and carry up to 10 pounds. Strong hand and finger dexterity for computer and office equipment use. Valid driver's license and proof of insurance may be required for certain assignments. Ability to wear required personal protective equipment when necessary.
