Administrative Support PORTCO, Inc $26.43 - The base pay for this position is $21.50 per hour. In addition, employees receive a Health & Welfare Benefit (HWB) of $4.93 per hour, bringing the total equivalent hourly compensation to $26.43. United States, Virginia, Northern Virginia Apr 29, 2026 Position Summary The Administrative Support position provides recruiting, onboarding, and administrative support services under a federal government contract governed by the Service Contract Act (SCA). This role serves as a primary point of contact for applicants and employees and supports human resources, and office operations while maintaining confidentiality, accuracy, and regulatory compliance.

Human Resources Department - Headquarters (Suffolk, VA)
Duty Location & Work Schedule Primary Duty Location:
Washington, DC
Regional Support:
Northern Virginia (NOVA) and Washington, DC
Work Schedule:
On-site a minimum of fifteen (15) days per month; remaining days hybrid
Travel:
Limited travel for training purposes and additional site visits; less than twenty-five (25) days annually Essential Duties and Responsibilities Recruiting & Onboarding Support Respond to and follow up with potential applicants in a timely and professional manner Review applications, conduct pre-screenings, and schedule interviews Maintain accurate applicant tracking records in SharePoint and Circa Monitor and report on applicant status throughout the hiring pipeline Support onboarding activities, including Form I-9 completion Maintain Dispositions of all applicants in Circa for the Northern Virginia (NOVA) and Washington, DC region Maintain SCA-compliant recruiting and onboarding documentation and reports Draft and process employment offer letters, coordinating distribution, receipt, and documentation in accordance with HR and regulatory standards. Administration & Office Operations Provide administrative support to management and supervisory staff Schedule and coordinate meetings, interviews, travel, and departmental activities Prepare, distribute, and track correspondence, memoranda, reports, and forms Answer and route incoming calls; respond to routine inquiries Distribution of HR documents, presentations, and training materials Proofread materials for accuracy, grammar, clarity, and layout Records & Compliance Management
  • Maintain accurate employee rosters, emergency contact information, and driver/vehicle records
  • Manage SharePoint reporting systems, ensuring data accuracy and compliance readiness
  • Retrieve, organize, and maintain records for audits and regulatory reviews
  • Prepare and manage compliance and regulatory documentation
  • Maintain current driver and vehicle listings within SharePoint
  • Oversee the end-to-end lifecycle of the Vocational Rehabilitation process
  • Prescreen applicants and update recruitment tracking systems (SharePoint and Circa)
  • Communicate with applicants, including follow-up calls and interview coordination
  • Schedule interviews and send reminders to hiring managers and candidates Qualifications, Skills & Knowledge Requirements Three (3) or more years of related administrative experience or equivalent education and experience Knowledge of office administrative and secretarial procedures Proficiency with Microsoft Office and standard office equipment Excellent written and verbal communication skills Strong attention to detail and organizational skills Ability to handle confidential information with professionalism and discretion Part-time to full-time, depending on workload and business needs.
Approximately 20-40 hours per week; hours may increase as the role evolves. Flexible schedule with potential to grow into full-time.
