Job Summary We are seeking an energetic and detail-oriented Administrative Assistant to join our dynamic team. In this vital role, you will be the first point of contact for clients and visitors, manage administrative tasks efficiently, and support daily office operations. Your proactive approach and excellent organizational skills will help ensure our office runs smoothly and professionally. Responsibilities Greet clients and visitors warmly at the front desk, providing exceptional customer service and maintaining a professional atmosphere Manage multi-line phone systems, directing calls accurately and courteously Perform data entry tasks with precision using spreadsheets and productivity software such as Microsoft Office Organize and maintain filing systems, both electronic and paper-based, ensuring easy retrieval of documents Schedule appointments and manage calendars for staff members using calendar management tools Prepare correspondence, reports, and documents with attention to detail through word processing and proofreading Assist with office management duties including supply inventory, mail distribution, and general clerical support Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data management Strong computer literacy with the ability to navigate various productivity software efficiently Experience with QuickBooks or similar accounting software is a plus for handling basic financial tasks Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Exceptional phone etiquette and communication skills for client interaction and internal coordination Bilingual abilities are highly desirable but not required to serve diverse client populations Previous office or administrative experience demonstrating proficiency in clerical duties such as filing, data entry, and document proofreading Knowledge of multi-line phone systems and front desk operations to manage incoming calls seamlessly Join us in making a difference by supporting our team's mission to provide exceptional psychological services.
