POSITION SUMMARY
We are currently recruiting for an Administrative Assistant to provide professional administrative and clerical support to a manager, work group, section, or facility. The ideal candidate will be organized, detail-oriented, and have strong communication skills, the ability to work independently, and experience with Microsoft Office. This position is located in Fairfax, VA .
Pay Rate:
$25.00 per hour
Schedule:
Monday-Friday, 7:30 AM-5:00 PM Responsibilities Provide administrative support to a manager, work group, section, district, or division. Coordinate and schedule meetings with internal staff, external contacts, and community members. Prepare meeting agendas, minutes, correspondence, reports, and other documents as needed. Track action items and follow up on outstanding items. Coordinate functions, special events, conferences, and seminars. Assist with meeting and event arrangements, including lodging, meals, equipment, and registration. Handle phone calls, emails, and communications with internal and external contacts. Provide guidance regarding standard operating policies and procedures. Prepare, format, edit, and proofread documents from notes and rough drafts. Maintain organized files and documents. Assist with scheduling and setting up training. Create and analyze reports and graphs as needed. Maintain current knowledge of applicable policies, procedures, and office practices. Perform special duties and other administrative tasks as assigned. Qualifications Strong verbal and written communication skills. Knowledge of general office and business practices. Proficiency with computers and Microsoft Office applications. Strong organizational and time-management skills. Ability to compile, coordinate, and prepare reports. Ability to provide excellent customer service to internal and external customers. Ability to handle confidential and sensitive information appropriately. Ability to work under pressure and meet deadlines. Strong filing and document management skills. Ability to work independently and prioritize multiple tasks. Knowledge of executive administrative practices and office procedures. Ability to interpret and apply policies, procedures, and record retention practices. Education, training, or experience in a general office environment or related field is preferred. Experience interpreting and applying policies and procedures is preferred.
Education and Experience:
High school diploma or equivalent, required. Proven experience as an Administrative Assistant, Office Assistant, or similar role Experience in a professional business environment with high-volume clientele (required). Customer service experience, including interaction with diverse groups such as employees, the public, and local authorities. Proficiency in office software, including Microsoft Office Suite (Word, Excel, Outlook).
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer. Must be able to lift and move up to 25 pounds at times. Standard hours of work Monday through Friday, 7:15 am - 5:00 pm.
