Why This Role Matters The Secretary II plays a critical role in supporting daily site operations by ensuring administrative processes run efficiently and professionally. This position serves as a key point of coordination between staff, management, visitors, and government representatives while maintaining organized records, supporting communication flow, and ensuring compliance with company and contract requirements. The role contributes directly to a productive, safe, and positive work environment through dependable administrative support and attention to operational details. What You Will Do Greet visitors and direct individuals to appropriate areas while coordinating onsite visitors with the COTR. Provide principal secretarial and administrative support to site leadership and staff. Draft correspondence, memoranda, reports, and other communications for management review and signature. Coordinate all aspects of the site-specific work order system. Maintain official documents, records, files, and administrative priorities in an organized and confidential manner. Monitor employee timecards for accuracy and appropriate documentation. Process and forward new employee packets and employee updates, including address, phone number, and direct deposit changes. Assist with determining employee absences, hours worked, and staff locations. Order office and consumable supplies with management approval and maintain inventory records. Coordinate meetings, reserve meeting rooms, set up conference calls, and distribute communications and reports. Answer telephones, screen documents, take messages, and route inquiries appropriately. Conduct reference checks and support onboarding activities. Attend meetings or seminars as needed to record notes or provide information. Assist staff by delivering paperwork to the COTR and badging office. Support site upkeep during inclement weather by helping maintain walkways, entrances, and dock ramps through snow and ice removal efforts. Follow all safety standards, company policies, and required training programs. Contribute to a positive, professional, and inclusive work environment.
Requirements:
What You Bring Education & Experience High School diploma or equivalent required. Two (2) years of related administrative or secretarial experience preferred. Experience supporting office operations in a professional or government-contracted environment preferred. Skills & Abilities Strong organizational, administrative, and multitasking skills. Ability to maintain professionalism, confidentiality, and attention to detail in a fast-paced environment. Strong written and verbal communication skills. Working knowledge of office procedures, administrative routines, and records management. Proficiency with office equipment and Microsoft Office applications. Ability to interact effectively and supportively with people with disabilities, coworkers, clients, and the public. Ability to work independently with minimal supervision while managing competing priorities. Ability to obtain and maintain required security clearances and building access credentials as required by the contract. Dependable with a strong work ethic, professional demeanor, and commitment to customer service.
