Jul 1, 2026 Job Description Spotsylvania County Public Schools is seeking an experienced Administrative Assistant to provide secretarial and clerical assistance for the River Run Administrative Services Instruction department, in direct support of the Chief Academic Officer. As a member of the Instruction department, this role may also assist with any projects or tasks related to the goals, objectives and programs of the department as led by the Chief Academic Officer.
Essential Functions:
Assists the Chief Academic Officer in general administrative operations. Reports regularly to the Chief Academic Officer regarding developments, issues, or problems within the school division that require attention or action. Assists incoming callers and visitors by responding to questions, inquiries, and requests for information and services. Prepares and processes purchase orders for supplies, goods, and materials for the Chief Academic Officer's offices (Professional Learning and Federal Programs, School Performance and Core Curriculum, and Special Education). Develops, implements, and maintains efficient office systems and procedures. Composes correspondence and other materials for the Chief Academic Officer and obtains required signatures on letters and reports. Drafts communications for distribution to staff as requested. Directs incoming and outgoing correspondence for the Chief Academic Officer's office(s). Organizes and maintains files, records, and filing systems as directed. Maintains the Chief Academic Officer's schedule, including appointments, conferences, and meetings. Establishes and maintains record-keeping systems for programs under the supervision of the Chief Academic Officer. Collects, organizes, and formats data into appropriate reporting structures. Coordinates payroll processes for the Instruction Department. Oversees support staff within the Instruction Department. Serves as backup Administrative Assistant for the Executive Directors of Elementary or Secondary Education as needed, as well as other Instruction support staff functions as needed. Maintains current and historical data related to school closures, dismissals, and delayed openings. Supports the Instruction Department budget. Maintains inventory and organization of the mailroom within the River Run Administrative Services building. Collaborates with Human Resources, Information Technology, and Finance on onboarding new Instruction Department employees to ensure appropriate resources and access are provided. Education and Experience:
High School Diploma or GED A minimum of two (2) years working within an office setting, ideally serving as an Executive Assistant Demonstrated ability to deliver excellent client service

Employment Terms:
Employment is offered as an 12-month (243 Day) contract, at a minimum of 7.5 hours worked daily. This position is evaluated annually.
