Position Overview The Administrative Assistant provides day-to-day administrative and operational support to ensure the efficient functioning of the office and team. This role requires strong organizational skills, attention to detail, professionalism, and the ability to communicate effectively with employees, clients, and vendors. The ideal candidate is proactive, dependable, service-oriented, and able to manage multiple priorities in a fast-paced environment. Duties & Responsibilities Answer and direct phone calls, emails, and other communications in a professional manner Schedule meetings, appointments, and maintain calendars for team members or leadership Prepare, edit, and organize documents, reports, correspondence, and presentations Maintain accurate filing systems, records, and office documentation Assist with data entry, invoice processing, and basic reporting tasks Coordinate office supplies, equipment, and vendor relationships Welcome visitors and provide excellent customer service to clients and guests Support onboarding activities and other administrative departmental functions as needed Assist with event coordination, team meetings, and company communications Maintain confidentiality when handling sensitive information Perform additional administrative duties and special projects as assigned Receive sort and distribute the mail Qualifications Previous administrative, office support, or customer service experience preferred Proficiency with Microsoft Office Suite and AppFolio Strong written and verbal communication skills Excellent organizational and time-management abilities Ability to prioritize tasks and work independently High level of professionalism, reliability, and attention to detail At least 2 years of experience in the field or in a related area High school diploma or equivalent; college degree preferred Preferred Skills & Attributes Positive attitude and team-oriented mindset Strong problem-solving and critical-thinking skills Ability to adapt to changing priorities and business needs Customer-service focused with strong interpersonal skills Growth mindset and willingness to learn new systems and processes Physical Requirements Prolonged periods of sitting and working on a computer Ability to occasionally lift and carry office supplies up to 20 pounds Work Environment Office-based environment Standard business hours with occasional flexibility as needed Work Expectations This is a part-time position requiring a minimum of twenty (20) hours per week with an in-office requirement Monday-Friday. Employees must devote their full attention to the role and may not engage in any conflicting business activities without prior written approval from the President of the Company.
