Job Description
Description We are looking for an Administrative Assistant to support daily office operations for a Contract position in Virginia. This opportunity is ideal for someone who enjoys keeping schedules organized, maintaining accurate records, and providing dependable support to both staff and program participants. The role requires strong administrative judgment, careful data handling, and a detail-oriented approach to communication in a fast-paced rental and leasing services environment.
Responsibilities:
- Coordinate calendars, arrange appointments, and help keep staff schedules running efficiently.
- Organize and maintain both digital and paper participant records in alignment with program and company documentation standards.
- Enter and update information in Yardi or comparable housing management systems with a high degree of accuracy.
- Assist with administrative processing related to recertifications, interim updates, and routine written communications.
- Monitor reports, activity logs, and workflow trackers to support smooth departmental operations.
- Respond to inbound calls, greet visitors, and provide general front-office and receptionist support.
- Prepare, file, and distribute documents while ensuring completeness, accuracy, and timely follow-through. Requirements
- Previous experience in an administrative support, office support, or receptionist role.
- Background in affordable housing, property management, rental services, or related programs is strongly preferred.
- Familiarity with Yardi or similar property or housing software is highly desirable.
- Strong data entry skills with close attention to detail and accuracy.
- Ability to follow established procedures and maintain organized records consistently.
- Effective verbal and written communication skills with a customer-service mindset.
- Proven ability to manage multiple tasks, prioritize changing needs, and meet deadlines in a busy office setting.
