Company Overview Metro Professional Services is seeking an experienced and highly organized Lead Program Support Specialist to provide administrative, operational, project, and executive-level support to a Federal Government client. This position requires an individual who can work independently, manage competing priorities, provide exceptional customer service, and effectively support senior Government leadership, staff, projects, meetings, travel, events, and daily office operations. Position Summary The Lead Program Support Specialist will serve as a primary point of contact for office and program support activities while providing responsive and professional service to internal and external customers and stakeholders. The successful candidate must possess demonstrated administrative experience and knowledge of Federal Government office policies, processes, and procedures . This individual will be expected to exercise sound judgment, critical thinking, confidentiality, and initiative while completing assignments with minimal supervision. The position supports a broad range of activities including executive scheduling, correspondence, records management, travel, procurement tracking, meeting and event coordination, property accountability, fleet support, and special projects . Key ResponsibilitiesExecutive & Administrative Support Provide high-level administrative and operational support to senior staff and Office Directors. Manage leadership calendars, schedules, appointments, and on-site/off-site meetings. Serve as a primary point of contact for office support and maintain professional interactions with Government personnel, stakeholders, and external customers. Independently prioritize and execute multiple assignments with minimal oversight. Proactively identify, initiate, track, and follow up on assignments and action items. Research, compile, and summarize information for correspondence, reports, briefings, and leadership requests. Prepare, format, proofread, and process executive-level correspondence and administrative packages. Review outgoing correspondence for accuracy, grammar, spelling, punctuation, formatting, required attachments, and compliance with Government procedures. Respond to routine correspondence and general inquiries on behalf of the supported office when appropriate. Daily Program & Operational Support Coordinate meetings, prepare presentation materials, record meeting minutes, and track follow-up actions. Provide timekeeping, data entry, database maintenance, records management, and administrative tracking support. Establish, maintain, organize, and disposition office files and records in accordance with applicable requirements. Prepare, route, monitor, and track procurement requests, purchase waivers, approvals, and closeout documentation. Coordinate official Government travel, including airfare, rail, hotels, rental vehicles, authorizations, advances, vouchers, and itineraries. Prepare correspondence, reports, technical papers, Government forms, spreadsheets, charts, graphs, presentations, and other administrative products. Monitor deadlines and ensure deliverables are accurate, timely, and require minimal Government revision. Identify and recommend improvements to administrative processes and office procedures. Provide support for special projects, programs, and other mission requirements as assigned. Project, Meeting & Event Support Assist with planning, scheduling, and execution of meetings, facility and laboratory tours, conferences, and special events. Coordinate logistics, meeting locations, schedules, transportation, equipment, attendees, and stakeholder requirements. Attend planning and briefing meetings and maintain event-related tracking spreadsheets and calendars. Support Government personnel during major meetings, conferences, and other high-profile engagements. Professionally interact with senior leaders, industry representatives, distinguished guests, and members of the public. Coordinate across multiple offices and functional areas to ensure events and projects are executed successfully. Property & Fleet Support Assist with Government property accountability and routine inventory assessments. Track Government equipment such as laptops, monitors, printers, and other designated property. Maintain inventory and supply records and report discrepancies to appropriate Government personnel. Support Government vehicle and fleet-management requirements as assigned. Assist with vehicle maintenance coordination, licensing/registration, mileage and fuel reporting, and required General Services Administration (GSA) reporting. Minimum Qualifications Four (4) years of experience performing office administration duties without day-to-day direction. Demonstrated experience supporting complex administrative and operational requirements. Knowledge of Federal Government office policies, processes, and procedures . Ability to accurately type at least 35 words per minute . Demonstrated ability to work independently, exercise sound judgment, and solve problems with minimal supervision. Ability to manage and prioritize multiple concurrent assignments and changing deadlines. Strong written and oral communication skills. Highly proficient in grammar, spelling, punctuation, proofreading, and preparation of standard and executive-level documents. Familiarity with the Government Style Manual . Strong customer-service, organizational, critical-thinking, and interpersonal skills. Ability to communicate professionally with individuals at all organizational levels. Ability to exercise appropriate confidentiality and discretion when handling sensitive information. Technical Proficiency Candidates should be proficient with commonly used Government and commercial administrative applications, including: Microsoft Word, Excel, PowerPoint, Outlook, Access, and SharePoint Google Docs, Sheets, Slides, Calendar, and Google Meet Adobe Acrobat Microsoft Teams/Skype and similar collaboration applications Virtual meeting and conference applications Travel management systems Time and attendance systems Administrative tracking and data-entry systems Calendar and scheduling applications Current web browsers Database applications, including Access and SQL, as applicable Minimum Education High School Diploma or GED required.
