Job Description
Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. As an energetic and detail-oriented professional, you will be the backbone of our administrative functions, ensuring smooth communication and seamless management of office tasks. Your proactive attitude and strong organizational skills will help foster a productive and welcoming environment for colleagues and clients alike. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth Operate multi-line phone systems, handle incoming calls with excellent phone etiquette, and route inquiries efficiently Perform data entry, maintain accurate filing systems, and oversee document proofreading to ensure clarity and correctness Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for creating reports, spreadsheets, and presentations Support office management tasks such as calendar scheduling, appointment setting, and coordinating meetings or events Assist with bookkeeping activities using QuickBooks or similar software to track expenses and manage invoices Provide exceptional customer support by addressing inquiries promptly and maintaining positive communication channels Requirements Proven office experience with strong clerical skills and familiarity with office management procedures Proficiency in computer literacy including Microsoft Office applications, Google Workspace, data entry, and filing systems Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Bilingual abilities are highly desirable to serve diverse clients and team members effectively Experience with multi-line phone systems, phone etiquette, and customer service is essential Strong typing skills along with attention to detail for proofreading documents accurately Personal assistant or medical/dental receptionist experience is a plus but not required Knowledge of bookkeeping practices using QuickBooks or similar accounting software is advantageous Ability to manage time efficiently while handling multiple responsibilities simultaneously Join us in a role that empowers you to make a meaningful impact every day!
