CUES FOR CANCER

is seeking a highly organized, dependable, and detail-oriented Volunteer Administrative Assistant to work directly with the Executive Director & Founder and provide administrative and organizational support across the organization. This is a non-paid volunteer position and does not constitute paid employment or a paid internship. The role is ideal for someone interested in contributing their administrative skills to a meaningful nonprofit mission while gaining hands-on experience supporting nonprofit leadership, programs, events, and organizational operations. The Volunteer Administrative Assistant will serve as an important organizational resource to the Executive Director, helping manage appointments, schedules, reminders, meeting documentation, electronic records, communications, and other day-to-day administrative needs. The successful volunteer will be proactive, organized, trustworthy, and comfortable managing multiple priorities with discretion and attention to detail. This is a hybrid volunteer opportunity based in Norfolk, Virginia, with a combination of remote responsibilities and occasional in-person support as organizational needs require. Key Responsibilities

  • Work directly with the Executive Director to provide ongoing administrative and organizational support.
  • Manage and coordinate appointments, meetings, calendar items, deadlines, and reminders.
  • Prepare meeting agendas when requested and accurately capture meeting notes, action items, decisions, and follow-up responsibilities.
  • Maintain organized electronic filing systems and assist with document management and record keeping.
  • Assist with email correspondence, phone communications, and other administrative communications.
  • Draft, format, proofread, and organize routine documents, correspondence, presentations, and administrative materials.
  • Help track outstanding tasks, deadlines, follow-ups, and organizational priorities.
  • Support scheduling and logistical coordination for programs, workshops, meetings, fundraising initiatives, and special events.
  • Assist with maintaining contact information and administrative records for partners, sponsors, donors, volunteers, and community stakeholders.
  • Perform basic data entry, document preparation, file organization, and other clerical responsibilities.
  • Help ensure administrative information is accurate, organized, accessible, and appropriately maintained.
  • Handle confidential or sensitive organizational information with professionalism and discretion.
  • Provide additional administrative support to the Executive Director as organizational needs evolve. Qualifications The ideal candidate will demonstrate:
  • Strong organizational, administrative, and time-management skills.
  • Exceptional attention to detail and commitment to accuracy.
  • Ability to manage multiple responsibilities, deadlines, and competing priorities.
  • Strong written and verbal communication skills.
  • Professional and courteous phone and email etiquette.
  • Experience with calendar management, scheduling, meeting coordination, or executive support is preferred.
  • Proficiency with common productivity tools, including email, calendars, word processing, spreadsheets, cloud-based document storage, and virtual meeting platforms.
  • Ability to take clear, organized meeting notes and identify action items requiring follow-up.
  • Reliability, initiative, sound judgment, and the ability to work with limited supervision.
  • Ability to maintain confidentiality and appropriately handle sensitive organizational information.
  • Reliable access to a computer and internet connection for remote responsibilities.
  • Ability to participate in occasional in-person activities in the Norfolk/Hampton Roads area.
  • Previous administrative, executive support, nonprofit, volunteer, or office experience is helpful but not required.
  • An interest in nonprofit service, cancer advocacy, community engagement, healthcare, or the performing arts is a plus.
