Full Job Description Company Overview:

PACE Collaborative is a multi-discipline consulting engineering firm that specializes in Electrical, Mechanical, Plumbing, Fire Protection, building Special Systems and BIM Services. PACE is a 100+/- person firm that has been in business for over 40 years and has offices in Virginia Beach and Richmond. We foster a comfortable and collaborative working environment. In addition, PACE is currently operating on a year-round "summer hours" schedule in which the office closes at noon on Fridays. We are seeking an experienced and highly organized Administrative Assistant - Specifications to join our Virginia Beach, VA office. This position is ideal for an individual with a strong background in the Architectural/Engineering (A/E) or construction industry who has extensive experience of editing and preparing project specifications. The successful candidate will be detail-oriented, proactive, and comfortable managing multiple priorities while working within project deadlines. This individual should have a strong understanding of specifications and the ability to independently navigate the specification editing process while coordinating with project teams.

Key Responsibilities:

Edit, format, and maintain project specifications using SpecsIntact, SpecPoint, MasterSpec, and MasterWorks . Assist project teams with the preparation and development of project specifications. Review specifications for accuracy, consistency, formatting, and completeness. Coordinate with engineers and other project team members to obtain information and meet project requirements. Manage multiple projects and priorities while maintaining accuracy and attention to detail. Track deadlines and follow up as needed to ensure projects remain on schedule. Provide general administrative support to the project and engineering teams as needed.

Requirements:

Associate's Degree or higher preferred. Minimum of 5 years of experience in the Architectural/Engineering (A/E) or construction industry. Minimum of 5 years of hands-on experience with SpecsIntact, SpecPoint, MasterSpec, and MasterWorks. Strong understanding of project specifications and the specification editing process. High proficiency in Microsoft Word, Excel, and Outlook . Experience with Bluebeam Revu and/or Adobe Acrobat . Excellent attention to detail and organizational skills. Strong ability to multitask and manage competing priorities . Ability to remain calm, professional, and effective under pressure. Strong follow-up skills and the ability to take initiative. Ability to work independently while also collaborating effectively with engineers and project team members. Demonstrated ability to meet deadlines in a fast-paced project environment . The ideal candidate is someone who is experienced, dependable, detail-oriented, and ability to hit the ground running . You should be comfortable working with multiple projects at once, communicating with engineers and other team members, and taking ownership of your responsibilities from start to finish.

Compensation:
Pay Range:
