Job Description

Job Summary We are seeking a dynamic and organized Office Administrative Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support various administrative functions, enhance customer interactions, and contribute to a positive work environment. This position offers an exciting opportunity for someone with strong organizational skills, excellent communication abilities, and a passion for providing outstanding support. Responsibilities Manage front desk duties, greeting visitors and clients with professionalism and warmth Operate multi-line phone systems, handle incoming calls with courteous phone etiquette, and direct inquiries appropriately Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks software Organize files, process invoices, and assist with bookkeeping tasks to support office management and financial accuracy Schedule appointments, manage calendars, and coordinate meetings to optimize time management for staff and executives Provide exceptional customer service by assisting clients, answering questions, and supporting client needs efficiently Support clerical tasks such as proofreading documents, preparing correspondence, and maintaining organized filing systems Experience Prior office experience in administrative or clerical roles is required; experience in medical or dental reception is a plus Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills Strong organizational skills with the ability to multitask effectively in a fast-paced environment Excellent communication skills in both English and bilingual capabilities preferred to serve diverse client needs Experience with front desk operations, phone systems, customer support, and calendar management is highly desirable Knowledge of bookkeeping or QuickBooks is advantageous for handling financial transactions accurately Previous experience as a personal assistant or medical/dental receptionist will be considered valuable assets Join us in creating a vibrant office environment where your organizational talents shine!
