Job Description
Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! Ever worked in Financial Services before? If so, that's great. If not, no problem. Responsibilities Manage our CEO/Founders Calendar Director of first impression duties including greeting visitors and directing calls with professional phone etiquette. Handle data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications. Coordinate calendar management and schedule appointments for team members or executives efficiently. Utilize software tools such as Microsoft Office, Google Workspace, QuickBooks, Canva, Skipio, Constant Contact and other office management systems to support daily operations. Assist with bookkeeping tasks, invoicing, and basic financial record keeping to support office financial health. Provide excellent customer support by responding promptly to inquiries via phone or email and offering assistance as needed. Support office management tasks including supply inventory, organizing files, and maintaining a clean and organized workspace. Experience Proven experience in an administrative or clerical role within an office environment. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Demonstrated organizational skills with the ability to prioritize tasks efficiently while managing time effectively. Prior experience in customer service or customer support roles that require excellent communication skills. Knowledge of bookkeeping or basic accounting practices such as using QuickBooks is a plus.
