As an Administrative Clerk, you will be the backbone of our administrative functions, ensuring smooth communication, accurate record-keeping, and effective office management. Responsibilities Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle inquiries, schedule appointments, and relay messages promptly Perform data entry tasks with accuracy using Microsoft Office applications and specialized bookkeeping software such as QuickBooks Maintain organized filing systems both digitally and physically, ensuring all documents are accessible and up-to-date Support office management activities including calendar management, appointment scheduling, and personal assistant tasks Handle confidential information with discretion while supporting clerical functions such as proofreading, document preparation, and record keeping Assist with bookkeeping responsibilities including invoicing, expense tracking, and basic financial record reconciliation Experience Prior office experience demonstrating strong organizational skills and proficiency in Microsoft Office Suite (Word, Excel, Outlook) Experience with QuickBooks or similar bookkeeping software is highly preferred Bilingual abilities are a plus to effectively communicate with diverse clients and team members Proven customer service skills with a friendly demeanor and excellent phone communication etiquette Familiarity with multi-line phone systems, data entry procedures, filing systems, and general clerical tasks Demonstrated ability to handle confidential information responsibly while managing multiple priorities efficiently Personal assistant or office management experience is advantageous but not required; training will be provided for specific responsibilities Join us in creating an organized, efficient environment where your skills can shine!
