Summary Job Summary Join our dynamic team at Keller Williams Western Realty as an Agent Services Coordinator . Located in the heart of Bellingham, our office is dedicated to providing exceptional support to our real estate agents, ensuring they have the tools and resources needed to succeed. In this role, you will be the cornerstone of our agent services, fostering a welcoming and efficient environment. Responsibilities Provide administrative support to real estate agents, helping with tech related questions, office assistance and other admin related tasks. Coordinate and manage communication between agents and leadership maintaining a high level of professionalism and confidentiality as well as when answering phones and greeting people at the front desk. Assist in the preparation and distribution of marketing materials, creating online graphics and calendars for agents in office. Maintain and update client databases and CRM systems, following up with potential recruits, reaching out via phone, email and text to set up appointments and invite to classes. Organize and schedule career nights and events, inviting recruits and unlicensed people interested in real estate. Support the onboarding process for new agents, providing necessary training and resources to ensure a successful start. Handle new agent onboarding with the office from beginning to end. Handle inquiries and requests from clients and agents, providing timely and effective solutions to any issues that arise. Light financial assistance with office Market Center Admin assisting with deposits, financials, and checks Bank Deposit assistance and handling agent checks and office financials Bonuses available Qualifications High school diploma or equivalent required. Previous experience in a real estate office or similar administrative role is highly desirable but not required. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Strong organizational skills with the ability to multitask and prioritize effectively. Excellent written and verbal communication skills. Detail-oriented with a high level of accuracy in data entry and document management. Ability to work independently and as part of a team in a fast-paced environment. Customer service-oriented with a friendly and professional demeanor. Familiarity with real estate software and CRM systems is a plus. Ability to maintain confidentiality and handle sensitive information with discretion. Strong problem-solving skills and the ability to adapt to changing priorities.
