$23+ DOE Job Purpose The Office Assistant provides administrative and clerical support to the Office Manager to ensure efficient daily business operations. This role focuses on handling vendor and customer correspondence, data entry, employee support, routine scheduling, invoicing, and billing. By managing these foundation tasks, the Office Assistant helps keep our commercial landscape and grounds maintenance projects running smoothly and on time. Key Responsibilities Office Administration
  • Screen incoming phone inquiries, manage vendor procurement for material orders, and facilitate clear communication between clients and internal staff.
  • Maintain digital and physical files for active and archived landscape projects.
  • Monitor and stock inventory office supplies.
  • Maintain a clean, professional, and organized office space. Project & Field Coordination Prepare and send client quotes. Coordinate appointment calendars to schedule client consultations, site assessments, and project start dates. Obtain utility location clearances (e.g., 811). Order project materials under the direction of Office Manager or Field Manager. Financial & Billing Support
  • Prepare and send client invoices.
  • Collect and organize timesheets from field crews each week to prepare them for the payroll review.
  • Log vendor invoices and receipts into accounting software.
  • Assist with accounts payables. Client & Vendor Relations
  • Answer customer questions regarding scheduling, contracts, and deposits.
  • Maintain current subcontractor documents and insurance.
  • Coordinate material deliveries with various vendors. HR & Compliance
  • Assist with onboarding new employees and required documents.
  • Maintain safety & vehicle records.
Required Qualifications Experience :
preferred 1 year of office experience.
Software :
MS Office, Outlook, and Accounting Software.
Skills :
Highly organized. Strong multi-tasking skills with the ability to keep physical and digital documents orderly.
Communication :
Friendly, professional, and clear verbal and written communication skills for interacting with clients, vendors, office manager and field crews.
Reliability :
High attention to detail with consistent attendance and punctuality.
Education :
High school diploma required. Work Environment & Physical Demands Sitting at a desk for up to 6 - 8 hours per day. Occasional lifting of office supply boxes up to 30 lbs. Fast-paced environment.
